You Are Definitely Going to Need More Bandwidth

All of a sudden, business as usual isn’t. Forget the norms of office life. They’re gone. Nobody comes in and sits at their desk anymore. The cubicles are empty. The parking lot is empty. Row after row of desktop computers and phones are… off.

To be fair, a skeleton crew is in the building. Most everyone else is at home. It’s been a mad scramble to connect remotely by home computer, iPad & smartphone via cable and cellular broadband. Bandwidth usage has soared 30% or more. Video conferencing has come into its own using those built-in microphones and cameras over Skype, Zoom, FaceTime, RingCentral, GoToMeeting, Webex and the like.

Not as Temporary as You Think
You probably think this traumatic upset of normal business practice is a transient thing. Just a few weeks of toughing it out and everything will go back to normal. That’s almost certainly wishful thinking. This pandemic has peaked or is peaking in areas that were hit hard and hit early. But that doesn’t mean it’s over. The horror of infection rates, deaths and failing medical systems will abate in one area after another. But, the disaster will soon pop up in areas that weren’t hit early and haven’t seriously locked down until recently. Think of a rolling disaster, from city to city and even into less populous areas. Just when you think it is all over, it is expected that there will be a re-infection in the Fall and sickness will spread again.

Eventually, there will be effective therapeutics and then vaccines. Those are likely months and possibly a year or more away. Until then, you might not be living in a constant horror movie, but it certainly won’t be business as usual. You might as well dig-in and figure how to run a successful business without large numbers of people rubbing shoulders in one big workspace or cozying up to customers at your place or theirs.

The New Virtual Business Requirements
You are going to need to master distributed processes, secure communications, and remote everything. You’ll need VPNs for security, private and public cloud services to host the software that defines your organization, and lots and lots of bandwidth to tie it all together. “Touchless” will be the new, new thing that everybody wants. That means technology substituting for hands-on.

What types of bandwidth do you need? Certainly, sketchy home broadband won’t do. Your remote employees may not even be eligible to connect to the high performance business grade private lines that commonly link offices, but they will need sufficient reliable bandwidth for both video conferencing with colleagues, management and customers. Bandwidth and latency need to be good enough that the home computer runs like the office computer. Cable broadband may do a decent job but remote areas present a challenge. In some cases, an SD-WAN solution aggregating cable, T1, WISP, 4G and 5G cellular and perhaps even satellite may be a good composition solution.

Especially Demanding Applications
Medical offices, labs, and hospital campuses need really high performance bandwidth. That includes Gigabit Ethernet and 10 GigE fiber, dark fiber and MPLS networks for interconnecting far-flung facilities or collaborating companies. Fortunately these connections are readily available in populated areas, although more of a challenge in rural locations.

Your IT Bandwidth Requirements
Reconsider your own IT Department connectivity needs. They've changed. You'll want your connection to public, private and hybrid cloud services to be high performance, dedicated bandwidth links. This will give you much faster, more responsive and stable connections than the Internet can provide. You'll want the closest to "LAN" quality performance from any of your business locations. This can be achieved with dedicated point to point fiber optic lines, Metro Ethernet services and MPLS Networks that span wide geographical areas, including worldwide service.

After The Disaster
Someday this will all be over, but things might not go back to the way they were. Companies may be amazed at how productive employees are in home offices, even with kids and pets under foot and no supervisor breathing down their neck. Fact is, a lot of socializing went on in those cubicle farms and the office computers hosted a lot of personal web use and email. Letting many, maybe most employees work from home reduces their need for commuting and, perhaps, child care. It reduces your need for real estate and facilities. Managing performance by goal oriented results may finally replace monitoring physical presence as the business norm.

Expect that you will have a lot more remote work and that core teams may be housed in much smaller facilities or even rented meeting spaces. Video conferencing may replace a lot of business travel that was once thought essential. The same level of productivity might, surprisingly, be achieved at considerably lower cost overall with more flexibility. Additional help could be quickly brought on without the delays and expense of relocation.

How to Get Your Business Phones For Free

You’d like to update your phone system, but the cost is hard to justify. After all, you can still receive and make calls just fine. What you are missing out on are all the cool features that the more advanced phones have to offer. You may also be stuck with a phone system that doesn’t work with your wireless phones and other mobile device. What do you do? Sit and watch as your competitors gain productivity advantages?

It’s hard to believe, but true. The secret is a change in business model from owning everything to paying for what you actually use by the month. This is the power of cloud based communications.

The big technical advance that makes telephony in the cloud a winner is getting the telephones on the data network and off their own proprietary network. There are a couple of key reasons this better both technically and financially.

The technical reason is that LAN and WAN networks have far more bandwidth available than common telco channels. These include traditional analog business lines and multiplexed calls over ISDN PRI digital trunks. Both are good for something like 64 Kbps or less. No problem for voice conversations that are limited to less than 4 KHz. Also no problem for low speed data like Caller ID or dial-up modem service. Now compare this to network connections that start at 1.5 Mbps (T1) and go up to 1,000 Mbps (GigE) and beyond. This opens the door to transport dozens or hundreds of simultaneous calls on one trunk and enabling other features like HD voice for higher call quality.

In fact, there is so much bandwidth available that you can use the same WAN network connection to transport both telephone and Internet data over a single trunk line.

But, wait, aren’t there call quality issues when you send phone calls over the Internet? The trick is not to let the phone calls themselves touch the Internet. Broadband Internet and telephone calls are combined at the provider and then separated at the user location. The combination process uses the same line, but keeps voice and data from interfering. This is done by giving voice packets priority status, something you can’t do on the Internet.

You get higher bandwidth for more call capacity and both broadband and telephone service on a single network line. This is part of the cost savings. More comes from being able to select your provider from many competing cloud communications providers. What a lot of people don’t realize is that analog copper telephone lines are owned by the local phone company. Network connections can go anywhere and aren’t owned by the local telcos.

The last piece of the puzzle is moving the call switching system from the telephone company or a back room in your building to the cloud. Cloud hosted PBX systems have the economy of scale and spread the cost over many customers. Since the hosted PBX provider specializes in this service, these systems are kept up to date with the latest feature sets.

So how do you get free phones? Some, but not all, cloud communications providers include new IP desk telephones as part of your monthly service fee. This allows them to optimize their systems for particular phone models, buy in quantity, and ship you brand new telephones to replace the old ones you have now. If staff up and need more phones, they care shipped to you ready to plug into your network.

Cloud Hosting vs Dedicated Hosting

You have many options when it comes to hosting for email, websites and application software. Let’s take a look at the tradeoffs to consider what's involved in making a good decision for your particular business situation.

Rent dedicated or virtual servers to meet your needs...You might think that the best solution is to do it yourself. This is how many, many companies got their start on the Internet and how larger companies still roll. At a minimum, you need a computer that acts as the file server plus a bandwidth connection. In-house that connection can be your LAN. If you want remote access, you’ll need a telecom line to get you to the Internet or as a private line connection.

An advantage of in-house hosting is that you have easy access to the equipment and complete control over what gets done to each server and when. Security is enhanced when everything is done over the LAN with no outside connections.

The downside of being able to do everything yourself is having to do everything yourself. You need to buy the equipment, build the environmentally controlled data center, provide physical security, do all installations, repairs and maintenance, and keep a constant vigil in case something goes awry. As you know, there are always things going awry.

This is the reason many companies consider buying their hosting rather than being in the hosting business themselves. You can start by simply outsourcing the data center itself. Companies that provide public data center facilities offer colocation services. You colocate or move into a provider’s facility. That facility provides the equipment racks and cages, redundant electrical power, environmental control, fire suppression, physical security and easy connectivity to telecom bandwidth services. You provide the servers and other appliances, which you install or contract for the colo facility personnel to install.

Some colocation companies have gone beyond just providing space and hookups. You can now rent servers and the labor to install and maintain them. You are still responsible for what’s running on the server other than the operating system, but you’ll have a tech staff available 24/7 to monitor your equipment and effect repairs if necessary.

It’s only a small step from renting equipment at a colocation center to renting a hosting service and not having to worry about the equipment at all. Small companies and home-based businesses may be able to get by with shared hosting, where you share a single physical server with many other clients. You have no access to the common operating system, but can upload files for your business. Shared hosting has become a commodity service and only costs a few dollars a month now. However, the performance of your site can vary depending on how heavily others are loading the server.

To regain control, you’ll probably want to rent a dedicated or private server. This is a physical server that only runs your files. Most of the time you'll gain root access to the machine, something that you never get with shared hosting. If you need even more capacity, you can upgrade to a larger server with more memory, CPU cores and disk storage.

Cloud hosting goes a step further. Cloud services are virtualized, often under the control of VMware. The cloud facility consists of rack after rack of physical servers and hard drives. They are connected to the outside word by multiple fiber optic bandwidth services. The idea is to have enough physical resources to handle any conceivable customer request. You don’t rent a particular server in the cloud. You rent a virtual server. It behaves just like a physical server, but may be one of many virtual servers running on the same machine. It is also possible that your one virtual server may span multiple physical servers.

Both dedicated hosting services and cloud hosting services allow you to rent rather than own the IT resources you need. You also save the expense and staffing required to operate this equipment around the clock. This is referred to as trading CAPEX (Capital Expense) for OPEX (Operating Expense), or rent vs buy.

The cloud goes one step further in virtualizing all physical resources. Many clouds are self-healing, such that if one piece of equipment fails another is automatically substituted. Cloud resources are also rapidly scalable. You typically have a web-based control panel that you use to provision (order) more or fewer resources. Extra servers can be added in minutes rather than days or longer. They can also be released when they are no longer needed so you aren’t paying for unneeded resources.
