The Cloud Offers Communications as a Service

The migration of everything to the cloud has coined a new phrase: “as a service”. This implies the business model of pay-as-you-go rather than owning vast capital equipment and software resources and the support staffs that go with them. You still need in-house support for your staff and to liaise with your cloud service provider, but you no longer have to be involved in all the nuts-and-bolts that make the system work.

In addition to the backroom business software humming along in the background, the cloud now offers to take on your electronic communications with the idea of offering a more features for less cost that you’d likely have if you tried to run everything in-house. The name of this new opportunity? Why, Communications as a Service, of course.

If you think of communications as “the telephone”, you are partially right. The landline phone has been the mainstay of business for over a century. It has been joined by the FAX machine to send documents over those same phone lines and the mobile phone that frees us from the wires. The marriage between phones and computers has expanded options to include instant messaging, audio, video and web conferencing, texting, file sharing, call routing and recording, call analytics and integration with business applications like CRM and project management software.

Communications as a Service or CaaS splits off into Unified Communications as a Service or UCaaS and Contact Center as a Service or CCaaS. What’s the difference? UCaaS is intended for use within the company for team collaboration CCaaS is for communicating with customers. You can think of UCaaS as replacing the old PBX business phone system and CCaaS as a technical upgrade to the old call center phone system.

How Unified Communications as a Service Works
With UCaaS the PBX in the closet down the hall or the key telephone set on your desk is gone. If you have a desk phone it connects to your LAN using VoIP rather than its own proprietary phone network. Your new phone system is in the cloud. Since much of your business software is also in the cloud, that makes it easy to integrate traditional phone applications and traditional business software applications.

Phone, or shall we say voice, features including call recording, call forwarding, call routing, teleconferencing, Inclusion of smartphones into the company phone system, and inclusion of work-from-home employees into the company phone system.

But that’s just the start of what can be done. The unification of voice, video and devices means that you are interconnected wherever you are and whatever device you are working from. You still get as many phone sets as you need, but they’re on the network connected to the cloud and not a room full of equipment down the hall. Instead of buying and maintaining all that equipment, you subscribe to the CCaaS system. You’ll get automated outbound dialing, interactive voice response for customer self-service, automatic contact distribution, analytics and other features that have traditionally been part of call center operations.

In addition, CCaaS is omnichannel in that is can communicate with your customers through voice, SMS, video, web sites and social media. Chatbots and virtual agents can handle routine inquiries so that your employees can concentrate on the more difficult issues.

Benefits of Service in the Cloud
With cloud communications as a service, you no longer have to budget large capital outlays for massive amounts of equipment only to have to replace that same equipment years down the road. You are not bothered with having to install constant fixes and upgrades or scheduling time for a vendor to come and service your system. It’s all being done invisibly within the cloud operation. You get the latest features all kept up to date and with enough hardware to run everything. You simply subscribe for as much service as you need when you need it. As your business grows, your cloud service can expand as needed.

Yes, You can Still Get a T1 Line

When the Internet was just beginning to take off and business was starting to migrate to the Web, the connectivity of choice was the T1 line. T1 is no longer king, as business cable broadband and fiber have eclipsed it with much higher bandwidth capability and much lower prices per Mbps. Even so, there are places and applications where T1 is exactly the right fit. The only question is: “Can you still find a T1 line?”.

Find T1 Lines for Telephone or InternetWhy Would You Want To?
T1 is a technical standard introduced by the Bell system in 1962. That’s right, the telephone company. This gives you a hint for where T1 is well entrenched. It is phone systems for small and medium sized businesses. The original implementation of T1 phone lines replaced 24 twisted pair copper analog phone lines with two pair running a digital protocol. A later scheme called ISDN PRI uses the same T1 line to carry 23 phone line conversations plus switching data and caller ID.

When the long distance carriers went to T1 and its higher bandwidth T3 cousin to replace the old analog carrier systems, one thing you immediately noticed was the disappearance of noise and crosstalk. In addition to using fewer circuits, digital technology gave us higher quality conversations.

Where do you find T1 lines for phones? Any business with multiple outside lines is a candidate. The more lines, the easier it is to justify the cost of a T1 or ISDN digital line. Typically six to twelve lines make more sense on digital than analog connections. Many key telephone and PBX (Private Branch Exchange) in-house phone systems support T1 directly or can easily be interfaced.

Rock Solid Performance and Reliability
T1 lines are dedicated point to point connections. It’s a pair of wires or a couple pair that go from your location to a telco equipment office. You may get your service directly from the incumbent local telephone company or from a competitive provider that leases the lines and terminal equipment from the telco.

T1 and ISDN PRI divide the line bandwidth into channels. That’s 24 channels for T1 and 23 for ISDN. The leftover bandwidth is used by ISDN for switching, ringing and Caller ID. Whatever channels are not in use at the moment simply idle and wait to carry a phone call. Unlike typical broadband services, there is no sharing of T1 bandwidth with other businesses or consumers. The bandwidth is dedicated to your usage. It’s also symmetrical by nature. In other words the bandwidth is the same in both directions.

Another important characteristic of T1 lines is that they are synchronized at both ends using PCM or pulse code modulation to convert between analog and digital. This compares with packets used in IP networks, which do not have the timing synchronization as they do not use channels. Why does this matter? T1 lines have minimal latency. It’s just the delay through the equipment and the distance between locations. You don’t get the variable latency of Internet routing or jumbled up packets that cause dropouts and distortion in VoIP calls. This clarity and reliability of performance makes for clean reliable phone calls and also makes T1 lines great for credit card verification.

T1 Broadband…It’s a Thing
The idea of a 1.5 Mbps line called broadband is pretty much laughable these days… unless you can’t get even that. That’s right. Rural broadband is the vast wasteland of our time. There are so many locations in the boonies that get nothing. No cell phone service and certainly no cable or fiber. What they can get is T1 lines. Why? Because they are already wired for Plain Old Telephone Service (POTS). T1 was designed to run on ordinary phone cables with regeneration equipment every mile so so.

So, if you have a rural business, you can probably hook up with a T1 line or two. Have one for your phones. Another as a “last mile” connection to the Internet. You won’t be downloading 4K movies in any reasonable amount of time, but you probably aren’t doing that anyway. T1 can support your inventory management and other business software. If you need more bandwidth you can bond another T1 for 3 Mbps and more to get up to 10 or 12 Mbps. That much bandwidth won’t come cheap and isn’t available everywhere, but… if you gotta have it.

A Faster Alternative
Technology advancements have resulted in newer protocols than the sixty-something year old T1 standard. One called Ethernet over Copper uses the same multiple twisted pair cable as T1 but runs much faster. The tradeoff is distance from the equipment office. If you are within a mile or two, you may get 10 or 20 Mbps. Way out yonder, EoC probably won’t work, but T1 will. Ethernet over Copper is worth look at if you are just outside the city limits but not served by fiber or cable. Pricing is pretty attractive and you might get all the bandwidth you need.

SIP vs PRI Pros and Cons for Business PBX

Business telephone lines have gone through several transformations. What started out as analog landlines evolved into digital T1 CAS trunks, then ISDN PRI, and finally SIP packet based network connections. Amazingly, all of these technologies are still available. We’ll take a closer look into the two most popular configurations used in multi-line PBX business phone systems.

ISDN PRI is short for the mouthful of an expression that is Integrated Services Digital Network Primary Rate Interface. Often the shorthand PRI or ISDN PRI is used for obvious reasons.

ISDN PRI is a standard telecom service that is based on the earlier T1 line specification. T1 got its start as a means of consolidating 24 pairs of twisted wire phone lines into 2 pair to save the expense of long distance cabling and overloading of telephone poles. This was accomplished by digitally multiplexing the 24 separate channels so that they were all transported together on a single 1.5 Mbps digital signal. An additional advantage of going digital was the reduction of noise and crosstalk on long distance phone calls.

A major benefit of the T1 specification is that existing phone company infrastructure can be reused, including wire landlines and microwave relays. High frequency digital signals degrade over distance fairly quickly, so regenerative repeaters were added to the lines to build the signal back up. With this arrangement, T1 could be offered over long distances to serve virtually all of the customers who were using the old analog phone lines.

One issue with T1 was that if each of the 24 channels carried only the audio telephone conversations, other wiring would have to be provided for signaling. A better solution was to multiplex signal bits into the data stream by robbing a bit here and a bit there in each of the channels. This degraded the audio very slightly and allowed the T1 CAS (Channel Associated Signaling) system to be self-contained.

Additional features, such as caller ID, were introduced by the phone companies and desired for business phones and especially call centers. This is where PRI comes in. The same basic T1 line organization was kept, except that only 23 channels were assigned as individual telephone lines. One complete channel was assigned to handle all of the signaling, data and other background services.

Most PBX systems today have interface cards where you directly plug-in a ISDN PRI cable and have 23 phone lines (or as many as you have ordered) at your command. If you need more than 23 lines, you plug in additional PRIs to add more channels.

Is there a Secondary Rate Interface?
No, but there is a related standard called BRI or Basic Rate Interface. The phone companies thought this would catch on as a two phone line system or higher speed dial-up modem service. By the time it was heavily deployed, computer communications had moved on to broadband and BRI never caught on. It has been popular for radio station broadcasts and remote announcing, such as voice over artists, because it can carry high quality audio signals. Recently, this service has been replaced by broadband Internet and is very difficult to find anymore.

What is SIP and How Does It Compare to PRI?
SIP is Session Initiation Protocol. It is a technology competitor to PRI. SIP is really a standard for transmitting VoIP or Voice or Internet Protocol phone calls over networks typically shared with other computing devices.

As you probably suspect, SIP is a packet based protocol versus the channel based protocol used by ISDN and T1. In channelized systems, a complete voice channel is assigned to a phone call for as long as the call is in progress. If no one is talking, the line just sits there idle. There is no sharing of facilities. In VoIP telephony, the conversation is broken up into small packets that are routed on the network to their destination. Many conversations can be on a network at the same time along with file transfers, print jobs and everything else digital. If there is a pause in one conversation, no packets are sent to the network for that channel only.

As you can see, VoIP is more efficient at sharing the network facilities. It comes at a cost though. Sometimes everybody wants to talk or send data at the same time. Unless the network is carefully designed, it can become flooded with too many packets to handle and things back up. This network congestion causes delays in transfer that breaks up phone conversations. Any packets lost will also distort the conversation.

Network Considerations for SIP
Careful network engineering is necessary to ensure that the sensitive voice packets are transferred without delay or corruption. Usually, these data streams are given a priority using Class of Service mechanisms within the network.

A network line dedicated to SIP is called a SIP trunk. This is the equivalent of an ISDN PRI line. Any digital line capable of carrying Ethernet packets can be a dedicated SIP trunk, although T1 lines, DS3 bandwidth and Carrier Ethernet services are often used for SIP. By giving the SIP phone conversations their own line, there is no interference from other data packets. SIP trunks are most often used to connect business and call center PBX systems directly to phone service providers. Like PRI, most PBX systems have network interface cards that plug directly into a SIP trunk.

SIP vs PRI
One protocol isn’t necessarily more appropriate than the other. It depends on the application. Most PBX systems can be set up to connect to SIP trunks or PRI trunks regardless of whether the phone sets themselves are analog handsets or VoIP phones. SIP trunks are particularly useful with newer Unified Communications or Unified Communications as a Service (UCaaS) systems that integrate computers, desk sets video conferencing and mobile phones into a single interoperable system. In these systems everything is in packet format and running on a single network.

Which is Right For You?
The best choice in telephone trunks is the one that works best with the system you have or the system you desire, and at the lowest cost for the performance you need. Prices of both PRI and SIP have fallen dramatically over the last few years, so you owe it to yourself to see what telephone trunk line options are available for your business needs.

Business Phone Line Options

One thing every business, large or small, needs is at least one telephone line. Phone lines may seem pretty mundane, but you may have more options than you think. Are you sure that you have the right phone line for your business?

You have multiple options for business phone lines.Plain Old Telephone Service
The historical phone line that we’re all familiar with is the analog phone line, also called POTS for Plain Old Telephone Service. It’s that vanilla.

POTS lines are as simple as they come. They consist of a single twisted copper pair that runs from a standard RJ-11 phone jack on your wall all the way back to the telephone company central office. The phone conversation is carried by a varying current in the wires.

What you may not realize is that POTS is a self-contained phone system. Phones were traditionally made of passive electrical components. They got their power right off the phone line… and still can. The value of this is that even if the electrical power goes off at your location, you still have phone service.

What’s happened lately, however, is that even single line phones have gone electronic and require AC power supplies and/or batteries to power the circuitry. This is especially true of cordless phone systems with multiple handsets. You can still get dial tone during a power outage, but you need to have a backup battery supply to operate the phone, not the line.

Multiple LInes
You are not stuck with just a single POTS line. You can have as many as you want. Mind you, there is no economy of scale. There is a fixed price for each line whether you have one phone per line or share the outside lines using a Key Telephone System or PBX.

Wireless as an Option
Can you get rid of the telephone line completely? That’s what cellular phone service is all about. No more “landline”. Everything is done with cell towers instead of wires. Wireless can work just fine for independent professionals who are always out of the office anyway. With a data plan you can have both Internet and voice telephony on the same device. You can enhance your mobile setup with an incoming toll free number, fax transmission and reception, and international dial-around calling. Shared plans can support a small office as well as a single user. Operations larger than that will still need wired landlines.

Moving up to Trunks
A telephone trunk is multiple phone lines coming in on a single cable. There used to be analog trunks, but that technology has all gone digital. The most popular trunks are T1, ISDN PRI and SIP.

T1 lines were devised as replacements for multiple analog POTS lines. Instead of separate wires, T1 lines are multiplexed to divvy up the available bandwidth into 24 independent channels. Each channel can be thought of as a separate phone line.

What if you already have a dozen phones and want to replace all those separate phone lines with a single T1 line? Chances are that you’ll get the same or better service at a lower monthly cost. A box called a “channel bank” handles the conversion between T1 channels and analog lines. Just plug your phones in like you always have.

T1 vs ISDN PRI
ISDN PRI or Primary Rate Interface is a variation on the T1 line. It uses the same channelization scheme, but dedicates one channel to dialing and switching for all the others. That means you have a maximum of 23 outside lines available on a PRI trunk. The tradeoff is that your phone calls will switch faster on ISDN PRI. That’s important for call centers and others who need highly efficient telephone operations.

Most PBX systems now have the interface circuitry for T1 and ISDN PRI already built-in. You simply plug in the trunk line and the system handles all of the necessary conversions.

SIP Trunks
Many, many companies are considering switching to VoIP technology or have already made the move. SIP trunks are the natural complement to VoIP phone systems. Their advantage is that they use the same protocol, SIP, as the phone themselves. Remember that VoIP or SIP phones connect directly to an Ethernet LAN, usually shared with computers, printers and other network devices. The SIP trunk extends the network so that it also connects to the VoIP service provider.

Like T1 and ISDN PRI, SIP trunks support multiple simultaneous telephone conversations. The difference is that these conversations consist of packet streams all combined on one line instead of breaking the line into separate channels.

Another advantage of SIP trunks is that they can carry Internet traffic as well as phone calls. After all, everything is in packet format. What’s important is that the trunk be setup to prioritize telephone traffic over data traffic to ensure voice quality. This is called Class of Service or Quality of Service.

Best Way to Manage Your Phone System: Get Rid of It

What is a common denominator for all businesses? Telephones. What’s a common denominator among business phone systems? They need to be managed. Well, what if they didn’t? The legacy business phone is a heavy black box full of analog circuitry and connected to the phone company its own telephone “line”. Today, the phones are lighter, some have digital circuitry, others are cordless with multiple handsets. They still have their own unique “telephone” network wiring.

When you have a single phone or a cordless set with several handsets, managing the phone system is no big deal. There’s really nothing to manage. If you’ve got a dial tone, you’re good to make and receive calls. The one thing you might add is a backup battery if the phone has an AC power adaptor. Legacy analog sets get their power right from the phone line. Newer electronic phones, especially the cordless variety, have DC power supplies that plug into the wall.

Management headaches begin when you get a number of phones sharing outside lines. Sure, each phone can have its own outside line, but that gets real expensive real fast. Plus, not everybody is making outside calls at the same time. Some are calling within the company. Many are not on the phone at all.

Types of Business Phone Systems
The two most popular types of business phone systems are Key Telephone Systems (KTS) and Private Branch Exchange (PBX).

Key systems let you call between phones inside the company using only your internal telephone wiring. That’s a big advantage over independent phones because the telephone company will charge you for every call that has to go through their network. The limitation of KTS is that each line has its own button on every phone and has to be manually selected to make or receive calls. That limits the practical number of outside lines to typically 4 or 6.

Private Branch Exchanges are little phone company switches within your business. You can still make internal calls through the PBX without using an outside line. The PBX system manages a pool of outside lines that are shared among all the phones in the system. The number of lines you need depends on what percentage of employees are making or taking calls from outside the company at the same time. A dozen lines can often serve dozens of users.

Why Get Rid of Your Phone System
Someone in the company, and it may be you, is responsible for telephone expenses. These include local and long distance charges, the cost of purchasing and maintaining the phone system, plus moves, adds and changes to your telephone assets.

The cost of “moves, adds and changes” comes from the fact that each phone has a dedicated line that goes to the KTS or PBX. The connection tells the system which phone is picked up or needs to ring. If you want to move a phone to another desk, you have to also move the connection in the phone wiring or reprogram the system so that it knows the new location. Otherwise employees have to change phone numbers every time they are relocated. Add a phone? You’ll need to add a phone jack at that location and a line back to the system.

The larger the company, the more phones there are, the more phone wiring there is to wrangle and the more expensive the phone system becomes. Worse, if your company grows beyond the capacity of your system, you’ll have to upgrade it if possible or rip it out and put in a new one if not. At some point the technology will become obsolete and it will get really pricey or impossible to keep the beast running. Then you are looking at a major capital investment.

How to Get Out of the Phone Business
Whatever business you are in, it is probably not the telephone business. You simply need those phones to get your job done. Even call centers are focused on the services being provided and not the telephone equipment itself.

What if you could just buy or rent the telephone sets as you need them, plug them into your existing computer network and let somebody else worry about buying and maintaining all that expensive switching equipment?

You can with a service called Hosted PBX or Hosted VoIP. Both mean the same thing. VoIP is the technology that turns telephone sets into network peripherals. Like all computers, the phones have their own internal address on the network. They can be plugged into any network jack and will work just fine. No need to change any wiring.

There is no KTS or PBX on your premises. A much larger “Cloud” system is located at the service provider’s data center. All you have on-site are telephone sets called SIP Phones and a special router or call controller to direct phone calls to the provider. You no longer need outside lines to the phone company. Instead, you have a digital SIP Trunk that connects your location to the provider.

The Pay as You Go Advantage
What’s happened is that you have traded a large initial investment in a phone system and the ongoing costs to maintain it and make changes for a simple “cost per seat” for each phone. Some providers include all new SIP phones when you sign up for service. They’ll send more when you expand the business. No need to pay up-front for phones and lines that will sit unused until you need them. If you need to downsize at some point, you return the phones and stop paying for the ones you no longer need.

Advanced Features
Chances are that your existing business phone system doesn’t have the ability to include smartphones or integrate with computers for efficient call center operations. You many not even have the functionality to support auto attendants or hunt groups for multiple agents for your call center. The hosted system will not only have many more advanced features that what you probably have now, but will be kept up to date as new features are offered. You never have to upgrade your phone “system” because the system is provided for you in the cloud.

The 3 Types of VoIP Lines for Business

Businesses large and small have been migrating to VoIP telephone technology for years now. Some are delighted with the move and have never look back. Others feel like they’ve lost something in the way of performance. The calls are often muddled and it’s hard to carry on a two way conversation. VoIP or Voice over Internet Protocol is a means to convert telephones into computer peripherals. The reason to do that is both to save money and enable applications that just won’t work on the old style telephone network. Network voice is a powerful tool, but can more easily be degraded that simpler analog phones.

Old School Phone Systems
Business phone lines are sometimes called POTS for Plain Old Telephone Service. They consist of twisted copper pair wires that run directly from the phone set all the way to the telephone company. Each phone has its own set of wires. Once you get more than a few phones, however, you face a mounting phone bill since the telco charges you to make internal as well as external calls.

Companies get around this by installing their own phone switches. Small systems use Key Telephone Systems where multiple outside lines are available on each phone but you can also call within the building on your own wiring. Larger companies install PBX (Private Branch Exchange) switches that manage a pool of outside lines that can be assigned to any phone as needed.

If you only have a couple of phones, each with their own line, the phone company takes care of all the switching for you. With many phones, you become your own little phone company for inside calls. That means you have to take care of all the special phone wiring and the Key or PBX switching equipment. Plus, you have to pay for multiple outside analog lines or a digital PRI trunk to get to the public telephone system.

How VoIP is Different
With VoIP, each phone plugs into your company LAN. That gets rid of the second special phone network. You still need something to switch the calls between phones. This can be a VoIP PBX or IP PBX that you have in-house. It can also be a much larger hosted PBX system from a hosted VoIP service provider. Hosted means that a specialized company “hosts” or run the system. You are one of many clients that they host. It’s pretty much like buying web hosting. You simply pay by the month for service instead of having to install and maintain your own equipment.

VoIP Phone Line Needs
All VoIP phones connect to a local network. This can be a small home office network that has only a computer, WiFi router, VoIP phone adaptor (for a regular phone) and broadband modem. Or, it can be an extensive corporate LAN that is bridged into multiple business locations nationwide and even overseas. The principles and the requirements for high quality performance are the same.

Since the network is shared with many phones and other computing devices, it take some doing to make sure that you get high performance. With dedicated analog lines, that’s the phone company’s problem. With VoIP, it’s now your IT problem.

What’s needed is plenty of bandwidth to accommodate all the phones and other devices. But that’s not enough. You need to give the voice packets priority over data because phone calls will start sounding muddled and choppy long before you notice that the file is loading slower. The network also needs low latency, packet loss and jitter to be transparent to the packets carrying the VoIP digitized phone conversations.

3 Types of VoIP Phone Lines
All analog phone lines are alike. All ISDN PRI trunks are alike. VoIP phone lines can be quite different. They range from Internet VoIP to SIP Trunks to MPLS private networks.

Using the Internet as Your Phone LIne
The low end of the market, which keeps costs low for home offices and small businesses, uses a broadband Internet service to connect to the VoIP service provider. You can share your broadband connection with a couple of computers, a WiFi router, and a few VoIP phones. You’ll need a router that creates CoS (Class of Service) to prioritize the phones or the computers will interfere with your calls. Sometimes the service provider will give you an adaptor that does this.

The advantage of using the Internet as a phone line is that it’s cheap. You probably already have broadband for your computer. The lure is to save money by “eliminating the separate phone line.” The downside is that the Internet was never designed for telephony. It was intended to reliably transport data files. There is no prioritization of voice on the Internet and most access lines, like DSL, Cable, Satellite and Cellular, are shared broadband. It’s a cost vs performance tradeoff. You may find that some calls sound perfect but others break up or sound muddled. It all depends on what else is happening on the Internet while you are making your call.

One way to improve Internet VoIP is to use a dedicated Internet access (DIA) like T1 or Ethernet over Copper. This keeps your neighbors from disrupting your calls while they download large video and software programs, but you are still subject to network congestion on the Internet itself.

Private Line VoIP Service
Companies that depend on high quality phone service for customer support and employee productivity usually sidestep the Internet in favor of something more predictable. The outside line that compares most closely to the legacy analog and PRI lines is the SIP Trunk. This is a digital broadband line, but it is a private line that is not shared with others. It’s called a SIP trunk because it supports SIP or Session Initiation Protocol, the switching system for VoIP calls.

A simple SIP trunk is a T1 line that runs from your network to your service provider. It supports up to a couple dozen simultaneous phone conversations or a combination of phone calls and Internet. The Internet service has a lower priority than the phone calls and uses whatever bandwidth isn’t needed for the phones at any given time. Smaller companies that don’t have dozens of phones find this is a great cost saver compared to maintaining separate phone and broadband lines.

Larger SIP trunks are also available for bigger companies or call centers. Both copper and fiber optic bandwidth is available to support as many calls as you need.

Voice over MPLS Networks
Major corporations generally have many business sites located around the country and even in other countries. They still want any employee to easily call any other employee without paying long distance toll charges. They also need to make outside calls to anyone with a phone.

A sophisticated solution is called VoMPLS or Voice over MPLS networks. MPLS is a private network arrangement with a regional, national or international service footprint. The network operator ensures that each paying customer has the necessary Class of Service, bandwidth and low latency, packet loss and jitter that they need for high performance.

VoMPLS works a lot like VoIP using SIP Trunks. The difference is that instead of having to run dedicated private lines among all your locations, you simply need an access line from each location to the MPLS network. This can give you a major cost savings, especially on those long international connections, while maintaining high network performance.

WAN Network Connections From Copper to Fiber

LAN, MAN and WAN speeds continue to rise as content demands more and more bandwidth. This is increasing pressure on both copper and fiber based telecommunication networks for more frequent speed upgrades. Let’s take a look at what the options are for both traditional TDM (Time division Multiplexing) and IP (Internet Protocol) networks.

Discover your copper and fiber bandwidth options.The Legacy of Copper Telecom Lines
Copper has been the mainstay of electronic communications, starting with the telegraph and then the telephone networks. The telegraph, of course, is long gone. The telephone is undergoing a technology shift where voice is becoming a converged network service. With the implementation of 4G LTE wireless, even cellular phone will soon move away from voice only channels to integration with data.

Clearly, analog POTS (Plain Old Telephone Service) is in its twilight years. What will remain for decades to come is its installed base of twisted pair copper lines that connect to nearly every building, commercial and residential. That copper still has value because it can transport digital signals as well as analog.

Digital T1 Lines
The oldest digital protocol for data transmission on twisted pair copper (not including telegraph) is still going strong. It’s the T1 line used for telephone trunking, point to point data, and dedicated Internet connections. T1’s history is that it was developed to transport multiple phone conversations digitally using existing telephone cabling. T1 can transport service over wide areas using signal regenerators to clean up the signal every 6,000 ft. You can get T1 nearly anywhere you can get landline phone service. The one limitation is its 1.5 Mbps bandwidth.

While 1.5 Mbps used to be considered broadband, it’s no longer adequate except for PBX telephony, casual Web access, email and point of sale credit card verification. This bandwidth is similar to 3G wireless. Wireless is rapidly moving to 4G wireless, with speeds an order of magnitude higher. Wired services are also moving to 10 or 15 Mbps as a minimal requirement.

Bonding T1 Lines & Ethernet over Copper
T1 is enjoying continued usefulness by bonding the bandwidth of multiple T1 lines to make one larger service level. This is practical up to 10 or 12 Mbps, but gets too expensive and hard to find available bundles of unused copper pair above that. What’s needed is a different technology that gets more bandwidth out of the same copper.

That technology is now available and called Ethernet over Copper or EoC. Ethernet is a departure from T1 in the way the bits are organized on the line, but serves the same purpose. It uses exactly the same copper pair cabling with multiple pairs bonded to increase bandwidth. The differences are that EoC is available in increments from about 3 to 45 Mbps and it is distance limited. Near the central offices, high speeds are available. A few miles away there may be no EoC service at all. In between, there are different service levels possible.

There have been some major advances in transmission of data over copper pair wiring, with some installations supporting bandwidths as high as 100 or 200 Mbps. These are uncommon. Another copper technology, Cable broadband using coaxial copper cables and a modulation scheme called DOCSIS 3, can reliably deliver 100 Mbps or more bandwidth. Even 1 Gbps is not unheard of, although not that widely available. Another service called DS3 or T3 offers 45 Mbps over a pair of coaxial lines where available.

Fiber Optic Services for Unlimited Bandwidth
What really gets the job done at higher bandwidths is fiber optic cabling. Fiber bandwidth is nearly unlimited, especially when wavelengths are bonded to create very large services. Like, copper, fiber also has a legacy history and a newer technical approach.

Traditional fiber optic service is based on a telephony standard called SONET (Synchronous Optical NETwork). Familiar service levels are OC-3 at 155 Mbps, OC-12 at 622 Mbps and OC-48 at 2.4 Gbps. Higher levels include 10 Gbps and 40 Gbps.

Ethernet over Fiber (EoF) is a Carrier Ethernet service like EoC, but using fiber rather than copper transmission. Fiber Ethernet is highly cost competitive and readily available from 10 Mbps on up to 10 Gbps. Today’s most popular service levels are 100 Mbps Fast Ethernet and 1,000 Mbps Gigabit Ethernet (GigE). In some areas, 100 Gbps service is available to businesses.

Wavelengths Options
Fiber enjoys another advantage over copper in that it supports multiple 10 Gbps wavelengths through a process called WDM or Wavelength Division Multiplexing. This means you can run different protocols on completely separate wavelengths within the same fiber strand. This provides a high degree of flexibility for financial institutions and others with demanding applications.

As you can see, there are a wide variety of options on both copper and fiber transmissionall currently available. What works best for your organization is a function of application requirements, scale and budget. You’ll likely have multiple technologies and multiple vendors to choose from.

Non-PBX Telephone Solutions

We all know what business telephone systems look like. The very smallest consist of a single desk set or a cordless system with multiple handsets but still one line. Next up are key telephone systems where each phone has buttons to access 2 to 6 outside lines. Beyond that is the realm of the Private Branch Exchange or PBX. This is the standard for most business office applications… or at least it was.

What made PBX systems popular was the opportunity to get away from having to pay the telephone company for internal calls and lines that mostly sat idle. Yes, there was a time when every phone had its own line to the telco and its own incoming phone number. If you wanted to call someone down the hall, you had to place a local phone call just like if you called someone across town. Each of those calls rang the register at the local phone company.

Direct Connections
It seems obvious today that calls from desk to desk inside your own building should be direct connections. There’s no need to use an outside line to go down to the telco switch and another line to come right back. A simple connection between the two local phones works just fine. What’s needed is a switch like the one at the telephone company office, but for inside the business only. That’s what a PBX is. It’s a miniature telephone exchange switch. That’s the “private” in Private Branch Exchange.

Why PBX Seemed Ideal
All internal calls are managed by the PBX on its own wiring. There are no per-call charges. The PBX also manages outside lines that are used for calls that come in to or leave the premises. There are almost always fewer outside lines than phones because many calls are internal and most phone sit idle while other work is being done. This optimizes the cost of telephone service for the business, right?

Escalating Costs
That was true when PBX was the only game in town. The one fly in the ointment is the cost of the PBX system including maintenance and repairs, and the everyday effort needed for moves, adds and changes. That PBX is just a machine. It doesn’t know that you moved your phone to another location until you tell it to use a different set of wires.

Flexibility Issues
PBX systems aren’t all that flexible, either. Each machine has a capacity. Sure, you can upgrade to add more phones… up to a point. Then you have to install a much larger system when your business grows beyond what your current equipment will support. That’s a major capital investment.

What’s a Better AlternativeToday?
Like many innovations in information technology, moving your phone system to the cloud offers a number of advantages. Yes, there is still something that provides the same function as your old PBX. What you have in-house are telephones that plug into your local area network instead of standard telephone jacks. The connection from the network to the service provider is called a SIP trunk. It serves the same function as the analog or digital lines to the phone company that you have now.

The beauty of a hosted PBX solution is that you can move phones around at will without any wiring changes. Just plug the phone into another network jack and the system will recognize it and know who it is assigned to. Adding or removing phones from the system is done through a simple browser interface. How does this work on a day to day basis? Your phones still act like normal telephones. Large companies long ago latched onto the concept of unified communications to improve the efficiency of their business telephone systems and the productivity of their employees. UC, as it is called, may have started out in major enterprises, but it is working its way into the small and medium size businesses. Why? For the same benefits the big companies achieve.

Why Telephone Wiring is a Thing of the Past

One given in voice communication is the telephone network, a web of small gauge copper wiring that runs through buildings and underground or overhead to the nearest telco central office. The telephone network, also called POTS for Plain Old Telephone Service, is a single purpose dedicated network that supports analog business phones and low speed devices such as fax machines.

Get rid of your old telephone wiring for cost savings and performance improvements...Think of networks as similar to the highway system. There are high speed freeways, that's computer networks, and lower speed county roads, the telephone network. They exist at the same time in the same areas but serve different traffic needs.

While it’s true that analog telephone networks have been used to carry data via analog modems and that computer networks carry packet voice traffic, each of these networks was built for a specific purpose and they are generally incompatible. Technology advancements have now made the gravel roads of the analog telephone network largely obsolete.

They’re being replaced by high speed, high capacity LAN, MAN and WAN networks that easily transport voice, data and video simultaneously. Some use copper, some use fiber. Some even used repurposed phone lines for high speed digital transport like bonded T1 and Ethernet over Copper (EoC). It's the old low speed analog circuits that are on the way out.

Many companies still have two separate networks in-house. One for the phones and one for the computers. This is true even if the telephony connection to the outside world is handled by digital ISDN PRI trunks or packet based SIP trunks. The interface that joins these two technologies is the PBX or Private Branch Exchange, your in-house telephone switching system.

What’s wrong with this arrangement? After all, the facility telephone wiring has been in place for decades and is fully paid for. It works just fine for telephone calls and fax messages. Why go to the trouble of moving your phones onto the computer network?

There are a couple of good reasons why companies are combining or converging their networks. Having only one network to maintain is less of a staff burden. Perhaps you even have a separate staff to manage the telephones or an outside contractor who comes in and does this. Every time a phone is installed or moved, wiring has to be changed or the PBX system reprogrammed. You can’t just pick up a phone and plug it into a different phone jack and expect it to ring at the same number. The physical connections determine the address of each device in the network.

Contrast this with Ethernet networks that connect the computers. The address of the computer is contained within the machine, not a function of the network. You can pick up your computer and take it anywhere in the building. Find an Ethernet jack, plug it in and it will work just as well as it did on your desk.

The same is true of IP phones, which are telephones with a computer network interface. The IP phone or SIP phone looks like any other computer or peripheral on the network. They each have their own address assigned either manually or automatically. The network will find them wherever they happen to be plugged in.

Ease of managing moves, adds and changes is one big advantage of IP telephony. Another is that your phone can now perform more sophisticated operations than just taking and making calls. It is possible to integrate computer and telephones in a call center to work as a team once both are on the same network.

IP phones are the basis of VoIP or Voice over Internet Protocol. In a complete enterprise VoIP system, both the phones and the PBX, called an IP PBX, are connected to the LAN. The IP PBX communicates with your telephone service provider over a WAN connection called a SIP Trunk. Since you are free of the telephone company’s analog phone wires, you can get your VoIP service from any provider you can connect to via SIP Trunk.

One further advance is called Hosted PBX or Hosted VoIP. This arrangement eliminates the PBX or IP PBX at your location and replaces it with an IP gateway. A SIP trunk connects to a cloud-based PBX system that handles all the switching, both internal and external. You avoid the investment in expensive PBX equipment and the ongoing maintenance as well as any maintenance of old school telephone wiring. Your cost is a fixed fee per phone. Just add or remove phones from your network and pay for only those in service.

Packet Voice Moves to the Cloud

Many businesses and individuals have already switched to VoIP for their telephone service. The original impetus is a cost savings over legacy phone service. Beyond that, enterprise VoIP services offer the opportunity for reduced staff and maintenance coupled with a richer feature set. Just when you thought that VoIP was a settled technology, a new wrinkle comes along. That’s VoIP up in the cloud.

Can you save money and gain features with Hosted PBX services in the cloud?Why move your phone service to a cloud? Let’s take a look at why this might be advantageous to your company and how we got from the old-timey candlestick and desk sets to something as amorphous as a cloud.

A generic technical term for VoIP technology is packet voice. Packets are a computer network protocol most often associated with Ethernet. A packet is a self-contained piece of data that has all the information needed to get it from source to destination. Packets are packets. It doesn’t matter what’s inside. Packets can carry voice, images, video, data and whatever else you can reduce to binary digits.

The major technical leap in packet voice is changing from a switched circuit telephone network to a packet switched network. Switched circuit means that every telephone call has an electrical circuit set up to connect the two (or more) phone sets involved in the conversation. This is unique to the public telephone system and has been that way since its inception. All telephone activity was originally voice calls made between electrically passive telephone sets. Look at one of those old phones. Do you see an AC cord? No way. The electrical power for the call was supplied by batteries at the telephone switching center.

When computer networks became more prevalent than telephone networks, the idea of what a network is changed dramatically. Both telephone and computer networks can run over twisted pair copper wire equally well. What’s different is that computer networks don’t set up and tear down electrical circuits every time that one piece of equipment wants to exchange data with another. The circuits that connect each computer device are continuous. What is switched is the data packets themselves. Ethernet switches or routers ensure that packets get to their intended destinations without having to create new circuit connections on the fly just for a single or group of packets.

Here’s why that’s important. VoIP or packet voice is transported over computer networks rather than switched circuit telephone networks that are only used for telephones. By connecting the phone to the LAN, you can eliminate the separate telephone network. All that wiring and the personnel needed to maintain it and change connections as phones are moved, added or deleted goes away. The cost of running the telephone network also goes away.

Something much larger doesn’t go away. That’s the switching system needed to interconnect telephones, even those using packets, and connect to the Public Switched Telephone Network (PSTN) for outside lines. That specialized switching system is most often called a Public Branch Exchange or PBX. Small businesses with few phones and outside lines may use a simpler system called KTS or Key Telephone System. Those are the phones with individual line lights that tell you if a particular phone line is being used or available for your call. Medium and larger companies have the more automated PBX equipment that manages both internal calls and multiple outside lines.

This is where the cloud comes in. An in-house PBX system can be set up to work with legacy analog phones (switched circuit) or the newer IP telephones used for VoIP. You can connect the phones and PBX to your computer network to eliminate the separate telephone wiring, but you still have to make connections to the public phone network if you want to take or make outside calls. PBX systems aren’t cheap, either. They require a major investment, ongoing maintenance efforts and the likelihood that you’ll have to replace the one you have when it goes obsolete or runs out of capacity.

Why not move that PBX to the cloud the same way that you move servers from in-house to the cloud? That’s the idea behind Hosted PBX, also called Hosted VoIP. The hosting is done by a very large packet voice switching system located at a cloud service provider. You don’t have to buy this system, maintain it or worry about upgrades and obsolescence. That’s the job of the cloud service provider. You simply pay a monthly fee for each phone or “seat” that you need.

Ironically, this concept takes us back to the early days of telephony when there was a large central switching system that connected to each telephone. The difference between the old “Ma Bell” approach and Hosted VoIP is that you are no longer tied to the single phone company that owns the phone wires. You can order network connections called SIP trunks to connect to any cloud provider you want. VoIP technology also allows new applications that integrate telephones and computers, important for call centers and contact centers.

Packet network technology has enabled computers to network within companies and all over the world. This technology is now being used to transmit video conferences and telephone calls on the Internet and private network connections. What is Cloud Computing For Business?

You’re hearing about “the cloud” just about everywhere these days. Most often, it’s related to one of the huge cloud players like Amazon, Google or Apple. What about every other business from small retailers to medium size manufacturing companies? Is there a cloud that makes sense for them? Just what is a cloud, anyway?

Are you missing out by not being in the cloud?You may be shocked to learn that there’s nothing fundamentally new in the cloud. In fact, you’ve been using clouds your whole life. Don’t think so? Consider this: The oldest cloud in the world is the public telephone system. It’s historically based on huge centralized switching systems providing the “cloud computing.” The thin clients, if you will, are the passive telephone handsets invented by Bell, plus the much newer mobile phones.

The whole idea of a cloud is that that all the brains of the system reside in a large facility run by a specialized service provider. The use of a cloud symbol is meant to imply that everything you need is inside, but you don’t need to see in there or be concerned about what makes it work. That’s the service provider’s job. You are one of many users of the system. It’s a principle called “multi-tenanancy.” Each of the users, or tenants, is isolated from the others and has the sense that they are the only one on the system. In reality, there may be hundreds, thousands or millions of other users accessing the system at the same time.

One nice thing about clouds is that not knowing all the details of what’s going on in the cloud means you don’t have to be responsible for making it work. That’s somebody else’s worry. Think about those old-timey telephone sets. Were you expected to fix them when they didn’t work? Hardly. Back in the day, Ma Bell would rain fire and brimstone upon your head if you took a screwdriver to anything that belonged to them. You didn’t even own the phone, you rented it. The telcos still will come after you if you try messing with their network. Just so you know where the dividing line is, that grey box on the side of the building is where your wiring stops and theirs starts.

Compare this with what we experienced with the advent of personal computers in the late 1970’s. Prior to the PC, nearly all computers were large mainframes housed in their own temperature controlled data centers. You used the system via your own workstation which was nothing more than a video terminal or teletype machine. Like the telephone, these user interfaces were as simple as possible. All the real processing was done in the mainframe. You could even rent time on somebody else’s mainframe by dialing-in on a time sharing account.

When the PC came along, the architecture was modeled on replicating the mainframe computer on a scale designed for a single user. Everybody who used one was expected to become a “sys op” and know the ins and outs of the operating system, hardware and applications. You were now both the computer operator and user. PCs were heavily advertised as being the modern replacement for old-fashioned mainframes and their smaller cousins, the minicomputers.

We’ve lived in this decentralized world for several decades. However, the worm, as they say, has started to turn. The mainframe is rising from the ashes like a Phoenix and is reborn as the cloud. Once again, operating systems, applications and most hardware is being sucked into a centralized data center and we are going back to being computer users rather than computer operators.

So, is everything old new again or is it really different this time? There are a lot of parallels. The old corporate mainframe is the new private cloud. The old time share system is the new public cloud. The old terminals are smartphones, tablets, netbooks, and PCs and laptops “thinned out” to be life support systems for web browsers, the new user interface.

Even the telephone system is in retrograde. The in-house PBX phone system that replaced dozens or hundreds of phones connected to the telephone company, is itself being replaced by dozens or hundreds of IP phones connected by SIP Trunks to Hosted VoIP solutions in the cloud.

Why is this happening? Should we be embracing the new cloud overlords or take our PCs and private data centers underground to assert our independence?

The answer is based in economics. Having your own computer empire gives you ultimate control, but it costs a fortune to buy and maintain. With the advance of technology, you wind up buying all new equipment and software as fast as the old investments are depreciated, maybe faster. Worse, if you guess wrong in your business forecasting, you are stuck with resources you pay for but never use. Or, you find your business tied up in knots with too few resources and a long procurement cycle to expand them. By the time you’ve corrected for the under spending, the business cycle has gone over the top and you are back to being stuck with too many underutilized resources... again.

Lack of scalability in hardware, software and data center personnel to make it all work is a business liability in volatile times. Savvy managers start thinking that it makes more sense to just rent what you need while you need it. If you guess low and run short, just go out and rent more. If you guess high and business collapses, turn those resources back to the provider and rent only what you need right now.

This is the main problem that the cloud is designed to solve. You pay for what you need while you need it and no more. The “what” includes servers that do the processing, disk storage to hold your files, bandwidth to communicate with the outside world, and telephone switching for your voice communications. Cloud services are priced on how many resources of a given kind you use and for how long. Services like telephony are priced per “seat” per month. Servers and storage can be ramped up and down as needed, typically using an online control panel. Seats can also be easily added and subtracted.

Another problem that the cloud solves is how to integrate multiple computers with multiple files. Everybody now has multiple devices, like PCs, laptops, notebooks, tablets and smartphones. Each one has some of your files, just not the one that you need right now. If you store everything it the cloud, you can get to it from any device you happen to be using from wherever you happen to be at the moment. You’ll also have the peace of mind of knowing that the cloud system regularly backs up your files so they won’t vaporize when a hard drive fails. That’s something that we humans are particularly bad at remembering to do, but something that an automated cloud process handles with ease.

The PBX Disappears With Hosted Voice

Medium and large companies are used to managing their own phone systems. It seems to go without saying that if you want to be able to make inter-office calls, you need to have a PBX or at least Key telephone system in-house. Hosted voice service says quite the opposite. With hosted voice, you only need to provide the phones. Sometimes even those are provided for you.

discovder the features and cost savings offered by hosted voice solutions...Hosted Voice, also known as Hosted VoIP or Hosted PBX, is a cloud service. The PBX phone system hasn’t magically disappeared. It’s simply been relocated from your building to the service provider’s.

If this sounds vaguely familiar, it’s because this is the model most companies used about half a century ago. What? You don’t recognize it? Back in the day, we all got our phones from Ma Bell and let her do the switching.

Centralized switching at the local phone company is what built the Bell system. That worked perfectly for residential users and small businesses. Larger companies wanted control of their calling and installed switchboards with operators. Later, when technology enabled it, they tore out the switchboards and installed automatic switching equipment. The phone company had an answer to the PBX. It’s called Centrex. They move the switching back to their “cloud” and handle internal as well as external calls.

There are a number of advantages to dumping the switched circuit model of Plain Old Telephone Service (POTS) and moving toward what is known as network voice. What’s changed over the last few decades is that every company now has a computer network. What they may not recognize is that the telephone system is also a network. It’s just a different and very specialized network. Why have two networks when you can combine them and maintain just one network?

It no longer makes sense to add modems to computers so they can run on the telephone network. Computer networks are so large and so fast that they have left voice lines in the dust. Instead, it makes more sense to modify telephones so that they can run on the computer networks. Telephones that have this capability are called IP phones or SIP phones. SIP is the switching system used by VoIP telephone systems.

The term VoIP or Voice over IP describes the nature of this system. You are transporting telephone calls, or voice, over IP Networks. Your LAN is an IP network. The IP stands for Internet Protocol, regardless of whether it is connected to the actual Internet or not.

This is how hosted voice works. Your PBX and analog telephones are hauled away for salvage or resale. In their place you get brand new IP phones that you unpack and plug into your network just like you would a computer or a printer. Then you pick up the phone to place a call and...

Oh, wait. You can’t make a call until you get a phone line to your network. That line is called a SIP Trunk. The SIP Trunk is what connects you to your service provider. At your end is a voice gateway installed by the service provider. At the far end is their very large telephone switching system, called a soft switch, and all the outside phone trunks that connect it to the public telephone system.

There’s a caveat here. Some smaller businesses try to cheap out and use the Internet to provide the connection to their phone service provider. That’s a pretty dicey arrangement because the Internet doesn’t offer any QoS or Quality of Service mechanisms. Your voice packets and the neighborhood kid’s pirated movie packets are all jammed together with no priority for anyone. If traffic backs up, it’s just like the tollway at rush hour. Everything creeps along and your phone conversations get choppy. They might even drop completely.

The best practice is to get your SIP Trunk from the same company that is providing your hosted voice service. They will give you a line that serves up telephone calls and the Internet without any interference between the two. As a single provider, they are responsible for both the line and the phone service. They’ll manage this arrangement to make sure both work optimally.

Regardless of the size of your business, it is well worth your while to investigate the features and cost savings from hosted voice solutions. Savings can be as high as 50% and you may be able to include your mobile phones as well as your office phones.

Call Center Contact Center Phone Service

Call centers and contact centers are major users of telephone services, especially long distance and toll free number services. What’s the best option for your call center to ensure that you have the right features and the best pricing? Well, there are several good technical options available right now. Let’s take a closer look at them to see what they can offer.

Check out options and pricing for call center and contact center phone service ...Traditional telephony has been based on basic business phone service, also called POTS or Plain Old Telephone Service. Old is right. Analog phone lines have been used for over 100 years and are still going strong. They’re highly reliable, deliver clear voice quality and don’t suffer from digital artifacts like latency.

Analog lines were originally intended to be one line per telephone. Key systems allow multiple lines on each phone so you can select which one to answer manually. All the but the smallest call centers have more lines and more agents than a key system can handle. That means using a PBX or Private Branch Exchange to automatically assign lines and direct incoming calls.

What PBX offers is automation. If you only need a half dozen or so outside lines, analog business lines still make economic sense. You connect them to your PBX using FXO (Foreign Exchange Office) ports on interface cards that plug into your PBX system.

When you need more than a half dozen or so outside lines, digital trunk service starts to make sense. Why? It’s because there is a cost advantage to bundling multiple phone lines into one trunk line. You may already have multiple analog lines coming in via a multi-pair binder cable. This is different. A T1 line uses two twisted copper pair to carry 23 or 24 separate phone lines digitally. Yes, those are the same copper pair that would otherwise be used for analog phone service.

The way this works is that the phone conversations are digitized at one end using an analog to digital converter and converted back to analog at the other end using a digital to analog converter. Each call is assigned its own digital timeslot or channel. They are kept separate so that there is no cross-talk between calls. T1 is a synchronous system that has strict timing at both ends of the line. Latency is almost non-existant. However, any unused channels are transmitted empty. All channels are constantly being exchanged between your PBX and your telephone service provider.

Why the choice between 23 and 24 phone conversations on a T1 line? All 24 channels can be used for telephone calls. This is called a T1 telephone line or T1 trunk. The other option is to use 23 channels for conversations and use one channel for switching, signaling and data, such as ANI and Caller ID. That option is called ISDN PRI or T1 PRI. PRI trunks are very popular with call centers because they offer the Caller ID information and faster switching times than normal T1 phone lines. Your PBX system may have multiple PRI ports so that you can have 23, 46, 69 or more outside lines for your call center.

SIP Trunking is an alternative to ISDN PRI. It is based on VoIP technology and uses packets rather than channels. SIP Trunks can be interfaced to older technology PBX systems and the newer IP PBX phone systems. There may be cost advantages for SIP Trunking, especially if using a lower bandwidth CODEC (Coder/Decoder) than the industry standard G.711. Some newer CODECs offer high call quality while transporting more simultaneous calls on the same line bandwidth.

SIP Trunking also opens the opportunity for cloud communications or Hosted PBX. With a hosted system, both the outside lines and the PBX switching system move to the cloud. You have only phones and a VoIP gateway in-house. The advantage to a cloud hosted solution is that you avoid heavy capital investment, pay for service by the agent seat per month, and don’t have to worry about maintenance or upgrades. The service provider takes care of all this for you.

Office Telephone Service Via Cloud

When you think of office telephone service, the thing that comes to mind is a phone on every desk with an easy 3 or 4 digit number to call other phones in-house and access to an outside line whenever you need one. Today, that picture also includes your own direct dial phone number and personal voice mail. Transfers, call forwarding and conference calls are easy to set up. So, where is the equipment that runs this phone system?

Why stay stuck in the past? The most modern office telephone solutions are in the cloud...For most people, the answer is “who cares?” The actual phone system could be anywhere. As long as it works all day, every day, the mechanics of how this is accomplished is beyond the interest of all but a few people. The ones who care are the business manager who pays the phone bills, the IT person or people who quietly keep everything humming, and the provider of the service.

That provider could be the local phone company. That’s how it was for at least half of the last century. For many if not most companies, at least part of the system is in-house. This could be a small wireless phone system with a couple of lines and a half-dozen handsets. It could be a key system using desk phones with a separate button for each of 4 to 6 outside lines. It might even be a PBX phone system mounted in a back room with lines coming in from each phone and going out to the telephone company.

Since very few people are all that interested in running their own in-house telephone switching system, why not ditch the whole thing? Does that mean going back to analog phones connected to the local Telco? Not at all. Today it means going forward to a cloud based solution that will give you all the functionality you have now and more.

Cloud communications is the new PBX. It’s also the new key system and the new small office system with only a few telephones. It may even provide your broadband Internet.

The cloud telephone system is more formally known as hosted PBX or hosted VoIP. You already know what hosting is. Chances are that you already buy a hosting solution from one of the many online providers. This could be a shared solution, a virtual private server (VPS) or a dedicated server of your own. The economics of setting up your own data center just to run a web server don’t make sense anymore. There is so much competition in the hosting field that simple solutions are only a few dollars a month. Dedicated servers are only a few hundreds of dollars per month. That includes the box, the bandwidth and the IT services to keep it all running.

Larger companies that run their own customized packages for business information may have elected to just add one more server for the web to the racks they already have in their data centers. It hasn’t made much sense to go out of house for a solution when you need a large data center and staffing to optimize your business. Well, not till recently. Now these major corporations are shutting down their in-house data centers and moving to cloud computing solutions in droves. Why? For the same reasons that make sense to outsource telephone systems. You don’t need to invest in capital and you don’t need a staff to maintain it.

The point is that cloud services have evolved to the point where both your computing and your telephone can be supplied by a cloud vendor at a lower overall cost with more functionality and lower in-house staffing than doing it yourself. There are other advantages, too. You pay for a cloud telephone system per seat per month. You only buy as many seats as you need. When you need more, you order more. There is no need to maintain extra capacity just in case business picks up suddenly. Provisioning of extra resources is fast and easy because the cloud has all the capacity you need.

Now that you have office telephone solutions in the cloud as an option, is there any reason to be stuck with a technical solution that was “modern” decades ago? At the very least, take a look at what’s available in the cloud, what it costs compared to what you are paying now, and if you can get all new phones included with your service.
