When Your Broadband Isn’t Stable Enough For VoIP Phones

People may point and laugh when you tell them your phones are still on analog landlines. Do you have to crank the phone or spin the dial? Very funny… especially when it turns out the joke is on them.

Get better VoIP phone quality nowThose old twisted pair lines were designed to have decent voice quality and rock solid stability. Yes, they can degrade with time. That usually shows up as noise on the line until you can’t make or receive calls. After a quick service call, everything is back in order for another year or two or a decade.

Oh, but that’s so old fashioned. The new phone line is the Internet. You can ditch the separate wiring and expensive line to the phone company when your computers and telephones share the same broadband connection. You can also get more advanced features, such as phones and computers that work together to support customers.

The only real hitch is that sometimes the new phones don’t measure up to the old phones. Oh, the handsets are great. They’re marvels of electronic engineering. Somewhere, somehow, the performance is getting lost. Calls may start out fine and then get garbled. The distortion can be so bad you can’t understand the caller. Worst case the call gets dropped…. and you slam that fancy handset back in the cradle. Not too hard, though. Those phones are expensive.

Where It All Goes So Wrong
The problem with VoIP or Voice over Internet Protocol telephony isn’t the fundamental digital technology. It’s that Internet thing. The Internet serves everyone, goes everywhere and is cheap as chips, as they say. Anyone and everyone is online doing pretty much everything possible. Your phone call goes into the fray like every other session and winds up at your VoIP service provider. It’s also completely democratic. Your call is no more or less important than somebody streaming a movie or placing an online order.

What you may not realize is that your old phone calls were really dedicated private connections between you and the party you are talking to. The line itself from your building to the phone company is just a pair of wires that go all the way there. A switching system then connects your line to the other party’s line. You have a dedicated circuit for the duration of the call. If the system gets overloaded, the next caller gets a busy signal. On the Internet, nobody gets a busy signal. The system simply slows down or drops bits. That’s what wrecks nice clean phone conversations.

Is There a Way to Make it Better?
The fundamental problem is more bits per second than a connection can handle. First, stop letting your computers and phones fight for the bandwidth. Set your router up to give phone calls priority. Whatever they don’t use can serve the other equipment. If those operations don’t have enough left over, you are going to have to order a higher bandwidth line.

Another thing to know is that the first mile is the worst mile for an Internet connection. The core of the Internet has much higher performance than most local Internet Service Providers. The cheaper the connection, the more likely it is that you’ll be in contention with other users. Dump the shared bandwidth services like cable and cellular broadband in favor of a dedicated Internet connection, like a T1 line. The 1.5 Mbps bandwidth of T1 is probably not going to meet your other needs, so consider this just for the phones. Otherwise get a higher bandwidth service for everything using Carrier Ethernet over copper or fiber.

Get Off The Internet
If you really want to get control of call quality, replicate the old dedicated phone line but with newer technology. What you need is a dedicated line service from your company to your phone service provider. Most PBX systems can use a T1 line, ISDN PRI (another flavor of T1), or a SIP Trunk. SIP Trunking is designed to directly support VoIP telephony.

Note that these dedicated lines go directly from point to point. There is no Internet connection involved.

If you want to tie together several business locations, an MPLS network may be cost advantageous. This is like a private Internet. The difference is that the line quality is carefully maintained by the service provider and is not the free-for-all you get on the Internet. Does it cost more? You bet. It may well be worth it, though, for customer satisfaction and employee productivity.

Business Phone Line Options

One thing every business, large or small, needs is at least one telephone line. Phone lines may seem pretty mundane, but you may have more options than you think. Are you sure that you have the right phone line for your business?

You have multiple options for business phone lines.Plain Old Telephone Service
The historical phone line that we’re all familiar with is the analog phone line, also called POTS for Plain Old Telephone Service. It’s that vanilla.

POTS lines are as simple as they come. They consist of a single twisted copper pair that runs from a standard RJ-11 phone jack on your wall all the way back to the telephone company central office. The phone conversation is carried by a varying current in the wires.

What you may not realize is that POTS is a self-contained phone system. Phones were traditionally made of passive electrical components. They got their power right off the phone line… and still can. The value of this is that even if the electrical power goes off at your location, you still have phone service.

What’s happened lately, however, is that even single line phones have gone electronic and require AC power supplies and/or batteries to power the circuitry. This is especially true of cordless phone systems with multiple handsets. You can still get dial tone during a power outage, but you need to have a backup battery supply to operate the phone, not the line.

Multiple LInes
You are not stuck with just a single POTS line. You can have as many as you want. Mind you, there is no economy of scale. There is a fixed price for each line whether you have one phone per line or share the outside lines using a Key Telephone System or PBX.

Wireless as an Option
Can you get rid of the telephone line completely? That’s what cellular phone service is all about. No more “landline”. Everything is done with cell towers instead of wires. Wireless can work just fine for independent professionals who are always out of the office anyway. With a data plan you can have both Internet and voice telephony on the same device. You can enhance your mobile setup with an incoming toll free number, fax transmission and reception, and international dial-around calling. Shared plans can support a small office as well as a single user. Operations larger than that will still need wired landlines.

Moving up to Trunks
A telephone trunk is multiple phone lines coming in on a single cable. There used to be analog trunks, but that technology has all gone digital. The most popular trunks are T1, ISDN PRI and SIP.

T1 lines were devised as replacements for multiple analog POTS lines. Instead of separate wires, T1 lines are multiplexed to divvy up the available bandwidth into 24 independent channels. Each channel can be thought of as a separate phone line.

What if you already have a dozen phones and want to replace all those separate phone lines with a single T1 line? Chances are that you’ll get the same or better service at a lower monthly cost. A box called a “channel bank” handles the conversion between T1 channels and analog lines. Just plug your phones in like you always have.

T1 vs ISDN PRI
ISDN PRI or Primary Rate Interface is a variation on the T1 line. It uses the same channelization scheme, but dedicates one channel to dialing and switching for all the others. That means you have a maximum of 23 outside lines available on a PRI trunk. The tradeoff is that your phone calls will switch faster on ISDN PRI. That’s important for call centers and others who need highly efficient telephone operations.

Most PBX systems now have the interface circuitry for T1 and ISDN PRI already built-in. You simply plug in the trunk line and the system handles all of the necessary conversions.

SIP Trunks
Many, many companies are considering switching to VoIP technology or have already made the move. SIP trunks are the natural complement to VoIP phone systems. Their advantage is that they use the same protocol, SIP, as the phone themselves. Remember that VoIP or SIP phones connect directly to an Ethernet LAN, usually shared with computers, printers and other network devices. The SIP trunk extends the network so that it also connects to the VoIP service provider.

Like T1 and ISDN PRI, SIP trunks support multiple simultaneous telephone conversations. The difference is that these conversations consist of packet streams all combined on one line instead of breaking the line into separate channels.

Another advantage of SIP trunks is that they can carry Internet traffic as well as phone calls. After all, everything is in packet format. What’s important is that the trunk be setup to prioritize telephone traffic over data traffic to ensure voice quality. This is called Class of Service or Quality of Service.

Non-PBX Telephone Solutions

We all know what business telephone systems look like. The very smallest consist of a single desk set or a cordless system with multiple handsets but still one line. Next up are key telephone systems where each phone has buttons to access 2 to 6 outside lines. Beyond that is the realm of the Private Branch Exchange or PBX. This is the standard for most business office applications… or at least it was.

Non-PBX telephone systems for your organization.Why PBX?
What made PBX systems popular was the opportunity to get away from having to pay the telephone company for internal calls and lines that mostly sat idle. Yes, there was a time when every phone had its own line to the telco and its own incoming phone number. If you wanted to call someone down the hall, you had to place a local phone call just like if you called someone across town. Each of those calls rang the register at the local phone company.

Direct Connections
It seems obvious today that calls from desk to desk inside your own building should be direct connections. There’s no need to use an outside line to go down to the telco switch and another line to come right back. A simple connection between the two local phones works just fine. What’s needed is a switch like the one at the telephone company office, but for inside the business only. That’s what a PBX is. It’s a miniature telephone exchange switch. That’s the “private” in Private Branch Exchange.

Why PBX Seemed Ideal
All internal calls are managed by the PBX on its own wiring. There are no per-call charges. The PBX also manages outside lines that are used for calls that come in to or leave the premises. There are almost always fewer outside lines than phones because many calls are internal and most phone sit idle while other work is being done. This optimizes the cost of telephone service for the business, right?

Escalating Costs
That was true when PBX was the only game in town. The one fly in the ointment is the cost of the PBX system including maintenance and repairs, and the everyday effort needed for moves, adds and changes. That PBX is just a machine. It doesn’t know that you moved your phone to another location until you tell it to use a different set of wires.

Flexibility Issues
PBX systems aren’t all that flexible, either. Each machine has a capacity. Sure, you can upgrade to add more phones… up to a point. Then you have to install a much larger system when your business grows beyond what your current equipment will support. That’s a major capital investment.

What’s a Better AlternativeToday?
Like many innovations in information technology, moving your phone system to the cloud offers a number of advantages. Yes, there is still something that provides the same function as your old PBX. But, it is a largely software driven system that is located remotely, has nearly unlimited expansion capacity and, best of all, you don’t have to pay for it. You only pay to use the system.. and that’s pay as you go.

How Cloud Communications Works
Cloud communications, also called Hosted PBX or Hosted VoIP, is a virtual PBX system offered as a service. What you have in-house are telephones that plug into your local area network instead of standard telephone jacks. The connection from the network to the service provider is called a SIP trunk. It serves the same function as the analog or digital lines to the phone company that you have now.

What You Gain With a Hosted Solution
The beauty of a hosted PBX solution is that you can move phones around at will without any wiring changes. Just plug the phone into another network jack and the system will recognize it and know who it is assigned to. Adding or removing phones from the system is done through a simple browser interface. Some cloud suppliers will even provide you with business phone sets as you need them. It’s included in the “per seat” cost of your service.

Day to Day Operations
How does this work on a day to day basis? Your phones still act like normal telephones. You can make internal calls with no per-minute charges, often even if the other phone is at a branch office on the other side of the country. Only calls that have to go over the public telephone system will still have per-minute charges, like you pay today.

Advanced Calling Features
Hosted PBX systems are always up to date and have advanced calling features you may not enjoy today, such as the ability to include mobile phones within the system. They have a dedicated staff to keep the switching equipment working 24/7. In the rare event that tornado or flood destroys your office, your phone system will still work. You just need some working phones and a network connection to the cloud to be back in business.

On The First Class of Service the Network Gave to Me…

One of the big impediments in getting networks to work well for all types of traffic is that different types of traffic have different needs. Treat all packets the same and you’ll enjoy excellent results in some cases and unacceptable results in others. What’s the solution? You need to add a touch of class to your network.

Get control of your MAN and WAN network traffic with class of service solutions.The idea behind class of service or CoS is that different types of traffic get different priorities on the network. For instance, do you really think that data backups are as sensitive to network characteristics such as latency and jitter as VoIP telephone conservations? Of course not. If your network has the capacity it may not matter. With infinite bandwidth all traffic will flow smoothly from source to destination. The problem is that we don’t have infinite bandwidth or infinitely large anything else.

This really shows up in MAN and WAN connections. These telecom links are almost always more limited than your LAN resources simply because of the cost involved. How many companies can afford 10 or 100 Gbps private lines cross-country? In fact, even 1 Gbps is a stretch for many IT departments. Many companies will have to get everything done with 10 Mbps Ethernet or 100 Mbps Fast Ethernet MAN and WAN service.

Can this work? It likely can if you carefully manage your traffic and don’t have so much that you saturate the network. The trick is in establishing multiple classes of service and assigning each type of traffic to one of those classes. Do it right and everything on the network will run smoothly.

The simplest example is to establish two classes of service. One is for latency sensitive applications. The other is for everything else. A good example is a SIP trunk that provides you with both VoIP business phone service and Internet access. This is becoming a popular setup for smaller business locations because of the cost savings involved in having only one outside trunk line. The VoIP traffic is extremely sensitive to latency and jitter so it goes into the class that has priority. Most of what you do on the Internet isn’t that sensitive, so it goes into the non-priority class.

You need this type of division because voice traffic is typically low bandwidth per conversation and will break up if there is any network congestion. Data transfers and web page downloads aren’t so sensitive to congestion and will take all the bandwidth they can get. If there isn't enough, they may slow down a bit but you won’t lose any data.

Class of Service keeps the big data and video downloads from pushing the more sensitive voice and two-way video conferences to the side. This can make your network perform much better overall without increasing bandwidth. Even so, there’s no free lunch. When the network gets congested enough, you are going to notice the slowdown on non-critical traffic and will have to increase bandwidth to make everything run as fast as it can.

Class of Service is one of the big differentiators between the Internet and private networks. There is no CoS on the Internet. In fact, it is a matter of pride that all packets are treated equally. This principle is called network neutrality. It makes the public Internet fair for all users, but inhibits performance on latency and bandwidth sensitive applications.

Is there a reason to create more than two classes of service? There is for more sophisticated operations. XO Communications is offering what they call Premium CoS with six different classes.

At the lowest level is standard class service for data and Internet traffic. The next step up is Priority class for data and Internet traffic that has a more urgent need to get through quickly, such as email messaging. Up from that is Priority Plus for traffic that has some sensitivity to delay and jitter such as FTP transfers.

Critical, the next class up, is for business applications such as SAP that will affect productivity if they are delayed. Critical Plus goes a step higher for applications such as Telnet Routing Protocols. The real time applications are at the top of the heap for priority. These include voice and two-way video. One way video can take a lower class because it is easily buffered to compensate for most jitter and latency issues.

You Pay Too Much For Your Business Phone

While we’ve been busily gathering and servicing new customers, the telephone industry has been changing behind our backs. If you are still using the same phone and provider that you had a decade ago, it’s seriously time for a review. You not only could be, but probably are, paying way more than you would have to and be missing out on some newer productivity features.

Ah, not so anymore. All phones used to be pretty much the same. That’s because they all came from the same supplier, the local telephone company. The phone was a big dumb peripheral to the large scale switching system at the central office. Most single line phones were built from passive components and got their power through the phone line. Multi line business phones were also built from passive components but supplied from a power supply and line card rack in the back room. That was necessary to create such features as flashing a line button when it was on hold.

Some of business phones you can buy today are not much more sophisticated that the one’s that Ma Bell supplied. One difference is that they may have a plug-in power supply or batteries to power the electronics inside. The one to four line key telephone systems that you can buy from office supply stores have replaced the old electromagnetic switching with smaller electronic boxes. Still, they all work on the same old telephone lines called POTS.

POTS stands for Plain Old Telephone Service. It consists of independent analog business lines that run from your office to the phone company over twisted pairs of copper wires. Power and switching signals are provided by the telco switching system. The in-house key system lets you have more than one line on a phone with LEDs to show what’s in use or on hold.

Did you know that you can get POTS service from companies other than your local phone company? The telephone industry has been deregulated so that other providers can lease the bare copper wires that run to your office and supply you with local and long distance service. There can be a cost savings in doing nothing more than switching providers. Your phone system will work exactly the same as it does now only you’ll get a lower monthly phone bill.

If your system has grown to more than a half dozen lines, especially if you have upgraded to an in-house PBX switching system, you could benefit from bringing in a digital trunk line instead of all those separate analog lines. A digital trunk called T1 CAS or ISDN PRI bundles up to 23 or 24 separate lines into a single line that still keeps the phone conversations independent. Why do this? You could realize a big cost savings from consolidating your lines. Chances are that your PBX system already has a T1 or PRI connection or you can upgrade with a adaptor card.

You may be wondering if VoIP telephony is for you. The consumer grade services that run on the Internet may not give you the call quality consistency that you need for good customer support or other business communications. What can work very well and save you considerable money is something called a SIP Trunk. This is a digital line that transports both telephone calls and broadband Internet access but keeps them completely separate so they don’t interfere. It’s a way to take advantage of VoIP technology without losing call quality or reliability.

The latest innovation is cloud based communications, also called Hosted VoIP or Hosted PBX. This is sort of like going back to just having phones in-house connected to the phone company’s switching center. The difference is that you aren’t stuck with the local phone company as your only choice. Using SIP Trunks, you can connect to many different providers, all competing for your business. Not only can you save money on your monthly bill, but you’ll avoid investing in expensive PBX or Key telephone systems and get advanced features like being able to include your smartphones in the system.

Why Telephone Wiring is a Thing of the Past

One given in voice communication is the telephone network, a web of small gauge copper wiring that runs through buildings and underground or overhead to the nearest telco central office. The telephone network, also called POTS for Plain Old Telephone Service, is a single purpose dedicated network that supports analog business phones and low speed devices such as fax machines.

Get rid of your old telephone wiring for cost savings and performance improvements...Think of networks as similar to the highway system. There are high speed freeways, that's computer networks, and lower speed county roads, the telephone network. They exist at the same time in the same areas but serve different traffic needs.

While it’s true that analog telephone networks have been used to carry data via analog modems and that computer networks carry packet voice traffic, each of these networks was built for a specific purpose and they are generally incompatible. Technology advancements have now made the gravel roads of the analog telephone network largely obsolete.

They’re being replaced by high speed, high capacity LAN, MAN and WAN networks that easily transport voice, data and video simultaneously. Some use copper, some use fiber. Some even used repurposed phone lines for high speed digital transport like bonded T1 and Ethernet over Copper (EoC). It's the old low speed analog circuits that are on the way out.

Many companies still have two separate networks in-house. One for the phones and one for the computers. This is true even if the telephony connection to the outside world is handled by digital ISDN PRI trunks or packet based SIP trunks. The interface that joins these two technologies is the PBX or Private Branch Exchange, your in-house telephone switching system.

What’s wrong with this arrangement? After all, the facility telephone wiring has been in place for decades and is fully paid for. It works just fine for telephone calls and fax messages. Why go to the trouble of moving your phones onto the computer network?

There are a couple of good reasons why companies are combining or converging their networks. Having only one network to maintain is less of a staff burden. Perhaps you even have a separate staff to manage the telephones or an outside contractor who comes in and does this. Every time a phone is installed or moved, wiring has to be changed or the PBX system reprogrammed. You can’t just pick up a phone and plug it into a different phone jack and expect it to ring at the same number. The physical connections determine the address of each device in the network.

Contrast this with Ethernet networks that connect the computers. The address of the computer is contained within the machine, not a function of the network. You can pick up your computer and take it anywhere in the building. Find an Ethernet jack, plug it in and it will work just as well as it did on your desk.

The same is true of IP phones, which are telephones with a computer network interface. The IP phone or SIP phone looks like any other computer or peripheral on the network. They each have their own address assigned either manually or automatically. The network will find them wherever they happen to be plugged in.

Ease of managing moves, adds and changes is one big advantage of IP telephony. Another is that your phone can now perform more sophisticated operations than just taking and making calls. It is possible to integrate computer and telephones in a call center to work as a team once both are on the same network.

IP phones are the basis of VoIP or Voice over Internet Protocol. In a complete enterprise VoIP system, both the phones and the PBX, called an IP PBX, are connected to the LAN. The IP PBX communicates with your telephone service provider over a WAN connection called a SIP Trunk. Since you are free of the telephone company’s analog phone wires, you can get your VoIP service from any provider you can connect to via SIP Trunk.

One further advance is called Hosted PBX or Hosted VoIP. This arrangement eliminates the PBX or IP PBX at your location and replaces it with an IP gateway. A SIP trunk connects to a cloud-based PBX system that handles all the switching, both internal and external. You avoid the investment in expensive PBX equipment and the ongoing maintenance as well as any maintenance of old school telephone wiring. Your cost is a fixed fee per phone. Just add or remove phones from your network and pay for only those in service.

VoIP Compatible High Speed Internet

Voice over IP (VoIP) technology is attracting more and more business users all the time. There are big advantages over traditional Plain Old Telephone Service (POTS) in features and cost savings. The big issue is what to do with the outside phone lines.

SIP Trunking is a  better broadband connection for your business VoIP needs.Why is this even a question? It’s because the century old public telephone system has been based on analog transmissions over twisted pair copper wiring. Many smaller companies still have multiple analog business lines connected directly to their phones or to Key Telephone systems or in-house PBX systems. Others who are big enough to need at least a half-dozen outside lines have moved to digital transmission via ISDN PRI, also called T1 PRI.

So, if PRI is digital then what’s the issue with VoIP?

Well, there’s digital and there’s digital. PRI telephone trunks are actually digital replications of the old analog lines. Each PRI consists of 23 channels that each carry one digitized phone conversation. One other channel is used for switching and data, like Caller ID. Those 23 PRI “B” channels are strung together end to end for transmission. Each channel is 8 bits wide and sampled 8,000 times a second. At the far end, the channels are separated and converted back to analog phone signals.

Note that nowhere here is any mention of packets. You know that computer networks all communicate using standardized packets of information. Each packet has both address and data bits. This allows switches and routers to get them from wherever they originate to wherever they are intended.

TDM (Time Division Multiplexed) lines, such as PRI, use channels instead of packets. The switching function is provided by the central office switch. When a phone call is in process, there is a direct electrical connection between the two callers. That connection is set up at the beginning of the call and torn down when the call is over.

If you are thinking that PRI service isn’t really compatible with VoIP, you’d be partially right. It’s really a conversion process between your office phone system that might be VoIP and the Public Switched Telephone Network (PSTN) that is still analog and TDM based. What VoIP really needs is a telephone line that is compatible with packet switched technology.

The first obvious option is to use the Internet to connect you with your VoIP phone service provider. After all, the Internet is readily available, relatively inexpensive to access, and packet based. Remember that Internet Protocol (IP) is the basis of VoIP.

What gets missed is that there is a big difference in the technology that includes Internet Protocol and the actual performance of the public Internet itself. One issue is that the Internet is open to anyone to do pretty much anything they want on it. There is no traffic manager ensuring that each user gets adequate resources for their particular application. There is a pool of resources and it’s first packet come, first served. Your voice packets may be competing with users backing up their files to the cloud, accessing ecommerce websites or downloading HD videos. If there is enough low latency bandwidth for everyone, then no problem. If the pipes get clogged up like rush hour on the Interstate, then you get what you get.

That can be a big problem for sensitive packet streams such as VoIP calls. Network congestion can cause dropped packets that distort the voice, delay some packets so they arrive out of sequence and are discarded, or impose a noticeable delay that makes two-way conversations difficult.

You can improve your chances of getting decent VoIP voice quality by using dedicated instead of shared bandwidth for your connection. That means Ethernet over Copper or T1 lines instead of cable broadband or DSL. You can also impose QoS (Quality of Service) through your own router so that at least your VoIP conversations aren’t competing with computer file transfers in your own office.

A better idea, although a bit pricier, is to use a dedicated private line called a SIP trunk between your network and your service provider. QoS is maintained by the service provider from end to end. Technologies That Should Stay in 2012

Technology is said to be evolutionary, but it is often cumulative. We wind up buying the latest and greatest devices only to find that we still need to hang onto the last generation hardware and software in order to maintain compatibility with existing systems. Over time, the old fades and the new becomes dominant. Then the new, new comes along and it starts all over again. Let’s take a look at some technologies who’s time has come to fade into the background.

Time to find replacements for these technologies that shouldn't move beyond 2012...Analog phone systems with their dated feature set, lack of compatibility with mobile devices and proprietary wiring are about on the edge of extinction. Analog still makes sense for very small operations that have only a single phone per line and unreliable broadband. The voice quality is clear and the cost of one line is attractive. It was thought that VoIP would kill the old POTS (plain old telephone service) line. What does it in now is mobility.

Being tethered to a landline is a considerable inconvenience for a generation that is on the go most of the time. Who wants one phone number for the office, one for home and another for cellular, each with their own voicemail boxes? Some people do everything on their smartphone with the knowledge that they are always reachable. The smartphone also doubles as a small computer, making even the ubiquitous business laptop a relic.

Most companies really need and want desk phones and desktop computers, but they want them to work seamlessly with their mobile phone, their tablet, their laptop or notebook and perhaps M2M devices (machine to machine). This is where VoIP shines. The technology makes the telephone set just another network device. Gone is all that phone wiring and those old clunker phones that just make calls. The newer IP phones have displays and are easily integrated with computers.

What’s better than VoIP? It’s hosted VoIP. This is a cloud based service that replaces all your in-house PBX equipment. You keep your VoIP telephone sets and install a SIP trunk to the provider. That provider takes care of all the switching and connection to outside lines for the public phone system. Most providers include all in-house and local calls in a fixed “seat” price per month. Some include nationwide calling as well. Features that cost extra with analog landline pricing, such as caller ID, call forwarding, conferencing and so on are built-into the VoIP service. You have the flexibility to scale the service up and down to match actual employee requirements rather that come up short on phones or be stuck with equipment and lines that you don’t use.

T1 bandwidth may be in its twilight time. This reliable technology has served us well for decades, but has become an increasing bottleneck with only 1.5 Mbps. That doesn’t cut it with todays demanding apps. Entry level for business connectivity is now 3 Mbps, with more and more companies asking for 10 or 20 Mbps connections. These are easily achieved with a replacement technology called Ethernet over Copper or EoC. The price for 3 Mbps EoC is about the same as one T1 line. The cost of 10 Mbps is only 2 or 3 times that. Even fiber bandwidth has become more affordable. A 100 Mbps Fast Ethernet or 1 Gbps GigE service is now well within the budgets for many medium size companies.

No need to dwell on pagers, Frame Relay Networks, 2G wireless, dial up modems, CRTs, bulletin boards, and 16 bit processors. They have been goners for years. How long before computer virus software, in-house server racks, proprietary wide area networks, and local disk storage join them? Their replacements are already available and being adopted by businesses who want to stay at the forefront of technology as a competitive advantage.

Business Phone Goes Hosted

Business telephone service has expanded over the years, from the single line analog POTS (Plain Old Telephone Service) to multi-line PBX systems that handle hundreds and thousands of phone sets. What’s the next logical development? Could it be even larger and more sophisticated in-house PBX systems? No, just the opposite. The PBX is moving out as business phone service goes hosted.

With hosted business phone, all you need are the telephones...Hosted business phone is another term for telephone switching in the cloud. Hosted means that a service provider hosts your telephone service on their equipment. The responsibility for running the PBX system and providing the lines to the public telephone system are effectively transferred from your company to your service provider’s.

Why would you want to go the hosted route? It generally boils down to finances and flexibility. The first financial advantage is that you no longer have to buy expensive capital equipment and provide a space for it in your building. This is seldom a one time allocation. With a hosted PBX system, there are phones but there is no PBX or telephone switching system in-house. That lets you avoid a major capital expense and also the guessing game of trying to predict how much capacity you’ll need during the lifetime of that system. If you guess low, you’ll be replacing it while it still works just fine. If you guess high, you’ll pay for capacity that you never use. Either way, it’s hard to know the future well enough to pick just the right size PBX.

The other financial advantage is that PBX phone systems cost more than just the purchase price. Every time to you to do a “move, add or change” with your telephones, somebody has to do some rewiring and change some programming in the system. That could be a dedicated staff member who is the telephone manager full or part time. Otherwise it is a contractor known as a VAR for Value Added Reseller. What Is VoIP For Business?

There’s a lot of buzz these days about the advantages of converting from traditional telephone services to VoIP. There are, indeed, major advantages for businesses to go with enterprise VoIP solutions. However, there are some pitfalls to avoid if you want to make the transition successfully. First, though, let’s take a closer look at just what VoIP is and how it differs from the phone service you have now.

Will VoIP work for your business? Check features and pricing now.One confusing aspect of VoIP is the name itself. The term VoIP is an acronym for Voice over Internet Protocol. The thing that jumps right off the page at you is the term “Internet.” It immediately conjures up visions of broadband phone solutions that piggyback on top of Cable broadband or DSL connections. That is, indeed, VOICE going OVER the INTERNET. It’s also one example of VoIP. However, it is far from the complete story.

The idea behind broadband phone is that with the right equipment you can use your broadband Internet service to connect you to a competitive phone company. The whole impetus for this is that the local telephone company, called the ILEC for Incumbent Local Exchange Carrier, pretty much owns you for local phone service. It’s easy to switch long distance providers, but much harder to change local services. Why? Because the ILEC owns the copper wires between your location, business or residential, and the switching equipment in their office. You can’t dig up the wires and move them elsewhere, so you need an alternative “phone line.” The Internet provides just such an alternative connection.

One of the major pitfalls of broadband phone is that the Internet was designed for transporting data reliably, not for transmitting voice quickly. Everything on the Internet is transported in packets. That includes data bits representing digitized phone conversations, video clips, websites, email and many other things. What they have in common is a standardized packet structure called IP or Internet Protocol.

Now, here’s where the trouble comes in. The Internet treats one packet just like the next. It doesn’t matter if they are zipping along smoothly or all clogged up. The system is set up to get each packet from Point A to Point B sooner or later. Having data correct is much more important than having it as soon as possible. If a packet gets lost or corrupted, another protocol called TCP or Transmission Control Protocol sees that the packet never arrived at its destination and retransmits it. As a user, this is all invisible. All you know is that your email or web page displayed correctly.

Voice differs from data in that it is a real time protocol. A voice packet that shows up late is of no use because the conversation has already moved on. VoIP is set up to discard missing or out of sequence packets. A few here and there won’t make a difference, but a lot of missing packets will punch holes in the conversation and make it hard to understand.

Video is equally sensitive or even more so. The way video stays intact is to have the packets go to a staging area before they are displayed on the screen. This area is the buffer. Buffering collects packets however they come in and then feeds them out smoothly to create a continuous picture stream. Buffering also works for audio and is used for Internet radio stations extensively. That way any congestion on the net won’t cause the audio to drop out.

Buffering could be used for VoIP, but not very much or it will create havoc. The tradeoff is that phone conversations are two-way. The buffer will cause a big delay from the time you start talking until the other person hears it. Buffering and other delays show up as something called latency which turns two way conversations into more like walkie talkie conversations. Only one person can talk at a time and you have to wait before taking your turn.

What’s better? Bypass the Internet and use a private line connection called a SIP Trunk. SIP is the switching and signaling protocol for VoIP telephony. The SIP Trunk is carefully engineered to give voice packets priority over data packets and to have enough bandwidth to avoid congestion that causes latency and jitter.

SIP Trunks connect your company to your business VoIP service provider. The provider takes care of all outside lines to the public phone system. You can connect the PBX phone system you have now using a SIP Trunk or use an IP PBX that uses IP telephones rather than standard analog phones. Even more interesting is hosted VoIP, which eliminates the in-house PBX system completely. The service provider gives you both lower rates to use the public telephone system and takes care of switching both inside and outside calls.

As you can see, there are various flavors of VoIP phone service available today. You want to be careful to pick a solution that not only saves you money but has the features and voice quality you need to conduct business effectively. Dedicated Bandwidth vs Cable

There are a couple of good but quite different approaches to business Internet connectivity. One is dedicated bandwidth, as exemplified by T1 lines and Ethernet over Copper. The other is Cable broadband. Let’s take a look at what each has to offer and how you would pick the right service for your business.

Compare dedicated vs shared bandwith options...Small and medium size businesses that pick dedicated bandwidth services do so either because there is no shared bandwidth service readily available or because they value the consistency and service level agreements provided by the dedicated telecom providers. Companies that choose Cable broadband do so because they get a lot of bandwidth for a relatively small price. Cable BB is an established service that has been proven in years of service to residential and business users. The service availability is generally quite good, especially during business hours, and the low prices may be more important than service guarantees.

It’s important to note the definition of the term “dedicated” in this context. It doesn’t mean working extra hard like, say, a dedicated employee. What dedicated means is that a certain amount of bandwidth is reserved or dedicated to your exclusive use. If you order a T1 line, you can count on having 1.5 Mbps upload and 1.5 Mbps download capability available at all times. There is no such thing as overage charges or fair use policies. You can load that T1 line up to the limit and run it that way all month. You’ll be charged the same as if you lightly used the service during business hours and let it idle overnight.

Cable broadband is sold on a different basis. First of all, the bandwidth is shared not dedicated. You’ll notice that Cable bandwidth is specified as “up to” 10 Mbps, 100 Mbps and so on. At any given moment you may experience the full bandwidth or a small fraction of it. Why? It’s the sharing involved. What Cable companies do is lease large dedicated bandwidth circuits and then divvy that bandwidth up among their subscribers. The chunk allocated to your area may be shared by dozens or hundreds of other users. Whether or not that makes a difference depends on what you are doing on the Internet and what others on the same service are doing.

Cable broadband is designed to match the expected activities of the typical Internet user. You know that when you are looking something up online, you first query a search engine. Then you read through the first page or two of listings deciding on what site to visit. Finally, you select a site and it downloads in your browser. You may quickly go to visit another page on that site or you may spend a minute or two reading what’s on the screen.

Notice that what you were doing was sending out commands from your keyboard, waiting for a page download and then not accessing the Internet at all while you perused the material. That’s why shared bandwidth works. Not everyone is going to be typing on their keyboard or in the midst of a file download simultaneously. While you are reading, someone else can be downloading and vice versa.

This is also the reason why asymmetrical bandwidth works so well for Internet access. Asymmetrical means that upload and download speeds are vastly different. You may order 30 Mbps download with 3 Mbps or 6 Mbps upload and be perfectly satisfied. It only takes a small amount of data from the keyboard to trigger much larger data packages in the form of websites or videos to download.

Dedicated bandwidth services like T1, DS3, EoC, EoF and SONET fiber optic tend to be symmetrical. The upload and download speeds are the same. This is particularly valuable if you are communicating between organizations, sending files back and forth, uploading to a remote server or backing up files. In these cases, upload capacity counts.

The other service that works much better over dedicated rather than shared bandwidth is VoIP telephony. In fact, you are much better off connecting directly to your VoIP service provider with a dedicated T1 line or SIP trunk than using the Internet at all. The Internet offers no class of service controls so your sensitive voice packets can easily get pushed around by someone else’s data packets. That situation is even worse on shared bandwidth access services where your bandwidth varies all over the place.

When More Bandwidth Doesn’t Help

You’re probably familiar with this scenario. You’ve had a T1 line or DS3 bandwidth circuit for years. Everything ran just fine until recently. Now, all of a sudden, the Internet just crawls and your new VoIP telephone system sounds like calls from the far side of the moon. Employees are peeved because they can’t get anything done. Customers are livid because they can’t even carry on a civil conversation over the phone. Management is getting hot under the collar. Better get more bandwidth on order, right?

Sometimes increasing the pipe size isn't enough...Maybe. It’s entirely possible that you’ll call up your provider and double your dedicated Internet bandwidth only to find out that you still have the same problems and now you’re paying twice as much. Talk about adding insult to injury! What’s gone wrong here and what can you do to really fix it?

The problem is that we visualize broadband connections like water pipes. You can just see that traffic flowing smoothly through the pipe. Applications demand more capacity and the flow increases, just like opening a faucet wider. Obviously, the only way you’ll hit the limit on capacity is when you fully open all the faucets at once. Then each application, the lawn sprinkler, the shower, the dishwasher and the wash basin each get less than they would like.

The fix seems equally obvious. Just put in bigger pipes with higher capacity. The water meter will spin a lot faster, but now you can support a lot more users full-on and nobody will suffer a reduction in flow. The telecom equivalent of a bigger pipe is what is called in the industry a “bigger pipe.” That means a line with more Mbps or Gbps. The analogy is clear. Just order a bigger pipe and your troubles will be over. Or will they?

The snag in all of this is that network traffic isn’t homogenous like water. One water droplet may be just like the next. One Ethernet packet may be not at all like the next. Some applications, like file transfers, just brute force move packets from one place to another. Others, like video conferencing or VoIP telephony are highly sensitive to latency, jitter, lost packets and packets arriving out of sequence. If your network gets congested, the file transfer will work fine. It will just take a little longer. Get in the same situation with real-time applications and they’ll crumble in the battle for packet transfers.

So why not just increase bandwidth when business grows to the point where more users are trying to do more things simultaneously? It’s likely that at some point you’ll have to do just that. But also know that simply adding more capacity may not make a big difference. Why? It’s because some applications will take as much bandwidth as you give them regardless of what they really need. If you simply double the bandwidth, Web pages may load a little faster, files might move a little faster, but the telephone and video may still break up mid-conversation.

There probably is some line speed that is so fast that everything will work at the same time with no problems. That might be 10x or even 100x what you have now. You’ll pay a fortune just to have enough capacity at hand to support rare moments when everyone is on the phone and watching YouTube videos at the same time the system is doing full backups. Is that really necessary?

No. Not at all. What you really need is a way to prioritize traffic so that preference is given to real-time two-way streams that are extremely sensitive to network congestion. You need to establish CoS or Class of Service controls that carve out a certain capacity to meet the needs of your VoIP phone system and video conferencing system and then divvy up the rest among lower priority processes. You can go further to push time insensitive file transfers and backups into the background so that they won’t interfere with anyone working online.

That solution is called the converged network. It’s more than just plugging everything into the same LAN and WAN. You need Class of Service both on your LAN and on the WAN. Techniques for the LAN are well established. The WAN is another matter if you are using the Internet for access to your VoIP provider. The Internet strips off those CoS tags in the name of network neutrality. One solution is to use a SIP Trunk to connect to a single provider for VoIP and Internet broadband so that CoS can be maintained on that link. Another is to keep the broadband you have, but use a separate point to point connection to your VoIP provider.

MPLS networks can maintain CoS among multiple business locations. You may be using Internet VPN connections to make those multiple connections, but with limited success if voice or video are involved.

Another interesting option is the “intelligent bandwidth” approach being offered by Telnes, a major competitive carrier. They’ve developed a technique called IP Priority Class of Service to maintain CoS on an Internet circuit using managed routers. This recognizes that most of the congestion issues occur on the link between you and the core of the Internet. By cleaning up that connection, real time applications, such as hosted VoIP, can run much more smoothly that they will on uncontrolled Internet broadband services.

Hosted VoIP Solutions Include New Phones

When we think of cloud services, it’s fairly easy to imagine the server racks down the hall being replaced by a much larger set somewhere out there. Similarly, it’s easy to see that the PBX in the telecom room disappears one day to be replaced by a much larger hosted PBX system in the cloud. But what about all those phone wires that used to plug into the PBX FSX and FSO ports? What do they plug into now?

Buy your phones or have them included in your monthly phone bill? They need to do what the network connections do. Moving data servers outside is made easier by connecting the LAN to an edge router that has a high capacity WAN line to your cloud service provider. When you outsource the PBX, the same thing needs to happen. In this case, the connection is called a SIP Trunk. Yes, it’s possible to terminate the SIP trunk into a myriad of analog phone ports so you can just plug in the phones you now have and keep going as if nothing has changed. But if you do that, you’ll miss out on one of the big advantages of upgrading to Hosted PBX service. That’s all the special features enterprise VoIP has to offer.

A big cost saver with VoIP, especially for medium and large organizations, is the consolidation of the separate phone and computer networks into one converged voice and data network. The phones are now like computer peripherals. There’s an RJ-45 jack on the back that connects to the network just like a PC. The phone has its own MAC address. You can move it around on the network and still have it ring at the same phone number. Forget rewiring or reprogramming like you have to do with standard phones when you make changes.

Analog phones can be made to work like IP phones by using an adaptor box called an ATA (Analog Telephone Adaptor). This is something of a kludge because the phone still has only the rudimentary features it had before. That’s why the ATA approach is only used for residential, home office and very small business situations. For every other application, the right thing to do is bite the bullet and move up to IP phones, also called SIP phones. These are telephones designed to run on the converged network and make use of productivity features you can get with networked telephony.

If you are designing your own in-house enterprise grade VoIP telephone system, you’ll need to budget for new phones as well as the IP PBX equipment. Count up the number of desks and wall phones, multiply by the cost of each IP Phone at several hundred dollars per, and your eyes may pop out at the total investment required. You can put together a capital investment plan and go face the bankers or take the alternative approach of pay-as-you-go.

Who let’s you pay by the month for your complete telephone service? Hosted PBX providers, that’s who. The pay for usage model is what’s making cloud computing such a hot service these days. There’s no reason telephony can’t be put on the same basis. The one variable is the telephone sets that remain at your business, not in the cloud. You can buy those, of course, or you can have the lease cost included in your per-seat pricing for the system. That way you get brand new sophisticated desk phones that are guaranteed to be compatible with the hosted phone service. You also have one provider to deal with for everything. If you’ve ever had to referee between phone set manufacturers and carriers blaming each other for something not working, you’ll recognize the advantage of having “one neck to wring.”

Where Hosted PBX Solutions Save

Business telephone systems range from the very simple with a few phones and a few lines to complex private branch exchanges that support multiple sites. The new approach is a hosted PBX that makes things simple again. But do hosted PBX solutions really save anything and can they maintain voice quality?

Look into hosted PBX solutions for potential cost savings.With the simplest arrangement of a single landline phone connected to the local phone company, there really isn’t much to manage. You pay so much per month for “dial tone” that makes your phone work and gives you typically unlimited local calling. You have the option to switch to a different provider for long distance service or use a dial-around service for international calling. These are options to save you on the per minute calling rates.

The basic analog or POTS (Plain Old Telephone Service) phone service seems simple because all the complexity is at the other end of the wire. What you don’t see or have to deal with is the intricacies of connecting your line to any of billions worldwide or to even more billions of wireless callers. If you have, say, 3 business locations with 1 phone each, they talk to each other by dialing up the desired location just like any other phone number.

Businesses found out just how complex the PSTN (Public Switched Telephone Network) was when they got big enough to have lots of desk phones and a dozen or more outside lines. What many companies did was to buy their own telephone switching system called a PBX (Private Branch Exchange.) The advantage of having your own PBX system is that calls within the company stay on your own wiring and you don’t have to pay the telephone company to connect them. That includes more complex PBX arrangements with digital tie lines that connect multiple locations in a private network. Once again, the motivation is to keep as many calls as possible off the public network to avoid “toll” charges.

Many companies have rued the day the got into the telephone business. PBX systems are expensive to buy and need constant updates as employees move within the company. There is also maintenance activity for both the PBX and its telephone network wiring.

Hosted PBX is a fairly new service that offers to offload the expense of in-house phone systems. It only became possible when most companies installed Local Area Networks for their computers and the price of private digital lines became affordable. The enabling technology is VoIP or Voice over Internet Protocol. In this case, Internet refers to the technology standard and not necessarily use of the public Internet.

Hosted PBX refers to using a large PBX telephone system that is located or hosted by a third-party service provider. This PBX is big enough to handle the telephone traffic of many different companies to gain an economy of scale. In a way, this is similar to going back to the days where each phone was individually connected to a local telephone company that took care of call switching.

So, where does the cost savings come from? Network consolidation is one area. Both telephones and computers run on a single converged voice and data network. There are no separate telephone wires. This network is extended to the hosted PBX provider using a private digital line called a SIP trunk. You are not tied to a particular service provider. There are many competing hosted PBX solutions and that competition is another way that cost savings can be offered.

The private SIP trunk helps to maintain high voice quality because it provides the characteristics of low latency, jitter, packet loss and congestion, along with quality of service mechanisms that keep data packets from interfering with voice packets. You can also buy Internet based hosted PBX services at lower costs, but the vagaries of the public Internet can introduce distortion and clipping in the conversations.

What is a PRI in VoIP?

We tend to think of VoIP as a “new generation” phone service based on IP technology unrelated to the historical public switched telephone network. Well there’s some truth in that, but no matter what you implement you’ll still be dealing with the good old PSTN. The bigger your company or organization, the more “outside” phone lines you’ll need. You should take a close look at ISDN PRI to make the connection to all the phones that are not part of your enterprise VoIP telephone system.

That’s telephony talk for a particular standard related to another telephone industry term, ISDN. ISDN is the Integrated Services Digital Network. There’s a history to the development of ISDN that relates to the once lofty ambition of replacing all analog home and business phone lines with digital versions. You may not have heard of this, as it fizzled when broadband Internet came along and usurped the data role intended for ISDN. Even so, the business version persists and is more popular now than ever. That’s what’s called PRI or ISDN PRI or even T1 PRI.

Why T1 PRI? It’s because ISDN PRI is physically transported on a T1 line. T1 is another telephone industry standard widely used in business for dedicated Internet and point to point data connections. T1 lines have the advantages of being provisioned on copper wires so you don’t need fiber optics installed. They can be extended to nearly any distance, are highly reliable and reasonably priced. The pricing has gotten really attractive lately due to all the competition in the industry. With all this going for it, T1 makes a great choice to carry PRI.

What’s different between a regular T1 line and a T1 PRI line? The line speeds and voltages are the same. What differentiates a PRI is how it is organized. Instead of a big chunk of bandwidth, ISDN PRI is set up as 23 channels that each represent one digital telephone line. A 24th channel is used for signaling and data such as Caller ID. It’s an upgrade to an older T1 telephone standard that was set up as 24 phone channels and no Caller ID.

The beauty of bringing in an ISDN PRI line or “trunk”, as it is called, is that you get 23 outside phone lines coming in on a single digital line. It’s a lot more compact and is almost always cheaper, usually a lot cheaper, than dealing with 24 individual analog business lines.

The interface is also generally very easy. Most PBX and IP PBX telephone systems either come with ISDN PRI capability or offer it through a plug-in module you can buy. All the circuitry to convert between 23 individual phone lines and the PRI digital trunk are implement on that circuit board. You simply plug-in one or more ISDN PRI lines and you have outside phone lines and a lot of them.

But why would you connect a T1 PRI to a VoIP phone system rather than keep it 100% VoIP? The simple explanation is that the rest of the world isn’t serviced by VoIP or at least the same VoIP provider. The only thing universal is the PSTN, where you can dial any number and get connected to any telephone in the world. Your enterprise VoIP phone system can save you a bundle on internal calls that stay on your own network. You can also buy a SIP Trunk that connects you to a telephone service provider completely in IP or Internet Protocol. But, guess what happens at that service provider when you want to call an outside number? That’s right. You’ll be switched through to the ISDN PRI lines that connect them to the public phone network.

Landlines Flourish in Business

Consumers may be abandoning landlines right and left, but they are still alive and well in the business world. In fact, landlines are absolutely flourishing in businesses large and small. What sense does this make?

The wireless-only craze has not infected businesses the same way as consumers for a number of good reasons. One difference is that most businesses involve more than one person. More often than not, businesses have a business location where most of the business activity takes place or is controlled. Fixed locations with multiple users who all need to interact is a realm dominated by PBX telephone systems. PBX systems use landlines to connect with the outside world.

Now there are some caveats to this. You may think of landlines as being only twisted pair copper analog phone wires that connect a business location to the phone company central office. This century-old technology no longer dominates the business world. A landline now might be a T1 telephone trunk line that consolidates multiple business lines into a single digital cable. Up to 24 phone lines can be carried by a single T1 line.

An even newer landline technology is the SIP trunk. This is a packet rather than channel based technology that serves IP based telephone systems such as enterprise VoIP systems, including IP PBX phone systems.

Digital landlines can be used for both voice and data. SIP trunk lines often carry both telephone and broadband Internet traffic. So do Integrated T1 lines. Carrier Ethernet service over copper or fiber landlines can provide point to point network connections or multipoint LAN services over extended distances.

So, does this mean that wireless use is insignificant in business settings? Just the opposite. The BlackBerry device is almost part of the corporate dress code... even when there is no dress code. BlackBerry devices and other smartphones are integrated into the enterprise voice and data systems using something called fixed/mobile convergence. There is some thought that this may eventually evolve into all-wireless business networks, but that seems unlikely. Every time there is an incremental improvement to wireless technology, such as HSDPA or EVDO Rev A, there seems to be an even greater demand for higher enterprise network bandwidths. It seems that the solution is a system that will incorporate more wireless access points, cellular and IP wireless telephony, and Gigabit Ethernet connections.

The one exception may be the independent technical or sales professional who spends more time out of the home office than in it. These people have needs more like individuals than collocated teams. A cell phone or smartphone, perhaps with a cellular broadband enabled notebook computer and a stand alone toll free number, can provide all the electronic communications needed.
